Position Summary:
We are seeking a detail-oriented and proactive Employment Compliance Specialist to join our team. This role is responsible for ensuring organizational compliance with all applicable employment laws, labor standards, and internal HR policies. The specialist will play a critical role in updating and drafting policies, maintaining the employee handbook, managing immigration cases, and working closely with internal legal counsel to mitigate risk and ensure compliance across the employee lifecycle. This position will also help align employment practices across global locations and acquired entities, supporting integration and consistency in compliance.
Position Responsibilities:
Policy Development & Maintenance
- Draft, review, and regularly update HR policies, procedures, and the employee handbook in alignment with evolving employment laws and company goals.
- Partner with HR leadership and legal counsel to ensure policies are compliant and effectively communicated to staff.
- Support the standardization of HR policies across domestic and international locations, tailoring as needed to meet local legal requirements.
Employment Law & Labor Standards Compliance
- Monitor and interpret changes in employment laws, labor regulations, and industry best practices at the local, state/provincial, national, and international levels.
- Provide guidance to HR and leadership on policy implications and necessary organizational changes.
Global Compliance & Policy Harmonization
- Collaborate with regional HR and legal teams to align employment policies across all global locations.
- Partner with integration teams to review and harmonize HR policies and processes for acquired entities, ensuring legal compliance and cultural alignment.
- Identify and address policy gaps and inconsistencies to maintain a unified global HR framework.
Legal Collaboration
- Collaborate closely with internal and external legal teams to address employment law issues, ensure policy alignment, and support investigations or audits.
- Assist in managing documentation for any employment disputes, audits, or government inquiries.
Employee Handbook Management
- Own the lifecycle of the employee handbook including regular reviews, updates, versioning for different regions, distribution, and employee acknowledgments.
Immigration & Work Authorization
- Manage all aspects of employee immigration processes including visa applications, renewals, and compliance with immigration laws.
- Coordinate with immigration attorneys and employees to ensure timely and accurate processing of cases.
Communication & Training
- Develop and deliver training to HR staff and managers on employment law updates, policy changes, and compliance best practices.
- Communicate policy updates and compliance requirements clearly and effectively across the organization.
