Sr. Administrative Assistant
Reporting to the Manager, Office Operations of BioNTech’s Gaithersburg Cell Therapy R&D and Manufacturing center, the role’s primary responsibilities include:
- Calendar management, scheduling meetings and domestic/international travel, communication support, site wide activities support, and other special projects as requested.
- Plans, coordinates, and manages internal and external meetings and events within the site and with other company divisions in the US and EU including preparing agendas and meeting materials.
- Assist in preparation of business and operating review materials and other key presentation requirements for internal and external meetings.
- Prepares any requested documents, including PowerPoint, Excel charts and/or Word.
- Handles meeting logistics (e.g. room reservations in multiple locations, orders refreshments, catering, schedules IT/AV support & facilities requests)
- Prepare expense reports and act as delegate in Travel approvals and IT requests as needed.
- Write and distribute communications on behalf of Office operations and Site Leadership Team to internal and external audiences.
- Support staff recruiting and rapid onboard of new hires, temporary/contract staff.
- Track and coordinate departmental initiatives and projects by driving actions and timelines as appropriate.
- Mentor, collaborate and direct work of other administrative staff when needed.
- Act as a backup for Manager, Site Operations, and Site Leadership as needed.
- Remain current on BioNTech relevant policies, procedures, and systems.
Requirements
- Bachelor’s Degree or 4+ years of Administrative Assistant experience and prior experience supporting senior management, preferably in the biopharma industry and in a global environment (US/EU)
- Excellent communication skills (written and verbal) and have working knowledge of communication tools and templates for internal use.<
