Job Duties:
As an Administrative Technician, your role will be essential in ensuring smooth operations within the Occupational Licensure Team. Your key duties will include:
- Reviewing and processing applications related to licensure and certification.
- Ensuring all documents, including transcripts and examination scores, are accurate and complete for initial licensure and renewals.
- Issuing, renewing, auditing, reinstating, and inactivating licenses while following established procedures.
- Assisting with preparation for board meetings by compiling applications that need Board review and added to the agenda materials and preparing rooms if needed.
- Entering and updating licensing and renewal data into the online web browser My License Office (MLO).
- Communicating with licensees, applicants, and the public regarding licensing requirements, statutes, and regulations.
- Handling routine phone calls, correspondence, and maintaining organized files.
- Operating copiers, fax machines, and other office equipment as needed.
Requirements / Qualifications:
Minimum Qualifications: Coursework/training or experience related to research, presentation, or publication in an area related to the programs or functions of the employing agency; business administration; accounting; customer service; and/ or technical support work, including use of computer software such as word processing, spreadsheets, and database management.
Preferred Qualifications:
- Ability to review applications/documents in accordance with statutes, regulations, and guidelines.
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Access (or similar software).
- Experience with phone and in-person customer service, especially regarding the status of applications and required documentation.
- Ability to organize, track, update, and file records in both electronic and manual formats.
- Experience handling confidential documents in compliance with HIPAA regulations.
Knowledge/Skills/Abilities
The successful candidate will possess strong customer service skills and a keen attention to detail, along with excellent time management, problem-solving, and communication abilities. They will demonstrate a high standard of integrity and the ability to work effectively within the Department’s mission.
