About the role

Title Description- Human Services Assistant I is the entry level in the occupational group for Human Services Assistants. Employees follow established guidelines, policies, and procedures while performing routine administrative tasks supporting and assisting agency clients while receiving close supervision from professional or administrative staff. The Human Service Assistant I is distinguished from the Human Services Assistant II by the latter‘s performing more technical activities requiring program knowledge in order to provide services and solve typical administrative and client-related issues. General Work Tasks (Illustrative Only) – 
  • Processes all incoming mail and documents received via mail, fax, drop box or front window for the Benefit Programs Unit;
  • Ensures each piece of mail or document has been date stamped as received;
  • Prepares each piece of mail or document for scanning into DMIS by carefully removing the document from the envelope and removing staples, if necessary;
  • Ensures each piece of mail or document is ready for processing by assigning to the appropriate case number and case worker;
  • Makes photocopies of odd sized documents prior to scanning to ensure acceptable quality;
  • After scanning into DMIS, views the scanned image to ensure correct orientation, all pages are legible, and that no pages are missing;
  • Properly index each scanned document;
  • Processes and scans all incoming mail and documents by 4:00 pm, on the same day the document is received;
  • Keeps processing log up to date;
  • Reassembles scanned documents and forwards to the assigned BPS;
  • Reviews and evaluates late SNAP renewals for expedited processing and mail SNAP hotline form;
  • Acts as back for front desk answering a multi-line telephone system, directing calls correct staff and taking messages;
  • Greets customers/visitors, addressing needs and questions;
  • Received documents through the front desk and logs appropriately; and
  • Serves on a shelter team during natural disasters or weather events.
 Knowledge, Skills, and Abilities:  Knowledge- Working knowledge of: administrative and clerical procedures and systems such as word processing, managing files and records, office forms and applications, and other office procedures and terminology; and mathematics sufficient to add, subtract, multiply, divide, compute rate, ratio and percent. Some knowledge of basic human service needs and state computer programs.
Skills- Skill in: operating a variety of automated office equipment to include calculator, fax/copier; and the use of computer-driven word processing, spreadsheet, graphics and file maintenance programs. Abilities- Demonstrated ability to: work with clients, co-workers, professionals, and the public; read and comprehend documents; write correspondence; present information in one-on-one and small group situations; follow written and oral instructions; perform basic mathematics; plan, organize, and prioritize daily tasks; use correct spelling and basic grammar; and display common courtesy and be a team player. Education and Experience- High school diploma with work experience in customer service or general clerical work involving contact with the public OR any equivalent combination of training and experience which provides the required knowledge, skills and abilities.
Preferred Qualifications- Prior work experience at a LDSS.
