Job Summary

Our practice is located in a state-of-the-art facility at 10 Members Way, Dover, NH 03820. As a Family Medicine office, we provide outstanding primary care and preventive health care to patients of all ages, from newborns to seniors.

We are seeking a full-time, 40-hour clinic/practice assistant with a standard schedule of 8:00 AM to 4:30 PM; however, flexibility is required to adjust hours as needed to support team coverage, with shifts occasionally starting as early as 6:30 AM and extending as late as 5:30 PM.

This Clinic/Practice Assistant role provides comprehensive administrative support to both Dover Family Practice and Adult & Children's Medicine of Dover. While responsibilities include patient check-in/check-out, appointment scheduling, and phone management, the position also involves a significant amount of additional front- and back-office administrative support to ensure smooth daily operations. The individual in this role will be based in the Dover Family Practice suite and will work closely with both care teams, supporting patient flow, managing administrative tasks, coordinating communications, and assisting with various office functions. We are seeking a highly organized, customer-service-oriented team member who thrives in a collaborative healthcare environment and is comfortable balancing a variety of responsibilities throughout the day.

Summary:
Performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations under close to general supervision. Performs basic clerical work and tasks that are repetitive and routine. Administrative duties related to patient visits including scheduling, check-in, check-out duties. Actual job duties may vary by Department.

Essential Functions
-Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
-Make patient appointments and maintain appointment records.
-Greet and assist patients.
-Answer telephones, assist callers with routine inquiries, and schedule appointments.
-File materials in patient folders, and print appointment schedules.
-Process patient billing forms and scan documents to patient medical record/LMR.
-Call for patient medical records and laboratory test results.
-Open and distribute mail or faxes.
-Type forms, records, schedules, memos, etc., as directed.
-May be required to accept co-payments.
-Handles, screens and/or takes messages related to prior authorizations, referrals, and verify registrations for accuracy.
-May monitor patients in waiting room and responds to any needs for information.
-Assists in patient flow processes.

High School Diploma or Equivalent required
