Job Purpose: The Development Stewardship Coordinator plays a vital role in ensuring an exceptional donor experience through strategic stewardship efforts and hands-on relationship management that promote a high-quality donor experience and foster long-term engagement and retention. This role delivers front-line concierge-level service to major and mid-level donors, working closely with the Individual Giving team to fulfill major donor benefits and stewardship strategies, coordinate sponsorship benefits, track donor recognition, and support overall department initiatives. This role also serves as the main point of contact for the patron lounge, managing the reservation system and ensuring smooth daily operations.

Job Duties and Responsibilities: 

• Staffs the patron lounge at the War Memorial Opera House during most San Francisco Ballet repertory season performances (nights and weekends required during January-May)
• Serves as the main point of contact for all lounge operations. Manages the lounge reservation system, including answering the dedicated lounge phone line and email inbox in a timely and professional manner. Responds to inquiries, confirms reservations, tracks capacity, and handles special requests from VIPs and high-level donors to ensure a seamless and high-quality experience.
• Tracks and manages stewardship touchpoints within the CRM Tessitura system, including sponsorship selections, recognition preferences, and membership updates
• Serves as a liaison with the Marketing team and project manages the En Face program books on behalf of the Development Department, including coordinating with Development Operations on donor list pulls, routing donor lists for review, collecting and organizing copy deliverables, and ensuring all components are completed on schedule to meet deadlines
• Works closely with Artistic and Artistic Operations to schedule and coordinate open rehearsals on behalf of the Individual Giving and Campaign Teams
• Tracks sponsorship recognition and benefit fulfillment for major donors, including updating Tessitura records, maintaining accurate benefit plans and program listings, coordinating lobby signage, and managing hospitality for sponsored performances
• Manages parking pass fulfillment for qualifying donors, including tracking eligibility, coordinating distribution, and ensuring timely and accurate delivery
• Leads execution of Individual Giving email campaigns via P2 email platform, including building, routing, and deploying
• Supports the coordination and execution of in-house solicitation mailings and stewardship colleterial, ensuring the timely and accurate delivery of appeals, Campaign materials, and hard copy communiques
• Supports the Individual Giving team with donor stewardship and benefit fulfillment initiatives, including donor outreach, ticket exchanges/requests, donor seat notes, donor gifts, and surprise and delights
• Provides critical and time-sensitive administrative support to Individual Giving and Special Events teams
• Actively contributes to donor relations at benefit events by providing on-site support, facilitating personalized engagement, and fostering meaningful experiences that strengthen long-term connections with the organization
• Performs other duties as required
