About the role

The Enoch Pratt Library has an opening for a Special Projects Coordinator.  Under the supervision of the Library Program Operations Manager, the Special Projects Coordinator assists the Programs Department with the management and implementation of major annual and one-time programs and projects, as well as day-to-day department operations.  Major projects include Summer Break Baltimore and Operation Warm. Additional support may be provided for other age-level programming including Imagination Celebration, YouthWorks, and others.

Summary of Duties:

The summary of duties listed below is not exhaustive. Additional duties are dependent upon the needs of the hiring department.

The Special Projects Coordinator will:

  • Collaborate with library teams, customers, and stakeholders to implement and evaluate library programs and projects.

  • Present information sessions and training to internal and external customers, and serve as the primary contact for questions and requests.

  • Track program and project progress using project management software. Assign deadlines, delegate responsibilities, and follow up with project participants to ensure completion.

  • Conceptualize and implement innovative methods to improve and streamline project elements, workflow, and evaluation.

  • Work with library departments to request volunteers to assist with projects. Coordinate volunteers and tasks.

  • Facilitate program inventories and distributions. Unbox and organize materials, monitor material totals, prepare shipments, and work with internal teams and vendors to place orders.

  • Communicate with community partners and facilitate their involvement in programs and projects.

  • Maintain program and project documents, spreadsheets, and forms related to program information, budget, training, evaluation, etc.

  • Upon the completion of a program or project, generate a final report that includes a wrap up summary, quantitative and qualitative data, and suggestions for improvement in future iterations.

  • Participate in committees and workgroups related to library programs and projects. Collaborate with other divisions and departments including Collection Management, Institutional Advancement, Marketing, and Systems.

  • Facilitate bus transportation for all youth (children and young adult) library programs, school & class visits, etc. Schedules transportation and confirms reservations with bus companies, staff, and partners.

  • Identify programming trends through peer library research and analysis of the library’s programming statistics.

  • Assist with other library programs and activities, as needed.

Minimum Qualifications:

  • Bachelor's degree required.

  • Two years of experience in planning or developing programs in a library, school, or educational institution.  

  • Physical Requirements: Physical exertion such as standing; or recurring activities such as bending, crouching, reaching; pushing loaded book trucks; or recurring lifting of moderately heavy items such as boxes of books.

Preferred Qualifications:

  • Experience at a public library including library operations, policies, and procedures.

  • Experience in establishing collaborative relationships with a non-profit or government agency, especially those serving the needs of diverse individuals in an urban setting.

  • Experience with Asana and Beanstack (or similar software).

  • Experience in analyzing data.

  • Project management experience.

  • Experience organizing volunteers and teams.

Required Knowledge, Skills and Abilities:

  • Proven experience in project management and strong attention to detail.

  • Excellent interpersonal and communication skills, including the ability and willingness to lead, work collaboratively, and present information in group and individual settings.

  • Ability to resolve problems and conflict with diplomacy, tact, and discretion.
