POSITION OVERVIEW
JOB SUMMARY:
Assist the Dean in planning, coordinating, and facilitating the College budget in order to achieve objectives and goals of the College. Advise and work with the Dean in all financial aspects of the College and act as liaison with Academic Affairs on any and all budget issues; and monitor and work directly with department chairs and staff on any and all financial issues.

Master's degree in an appropriate area of specialization and four years of appropriate experience: or a bachelor's degree in an appropriate area of specialization and six years of appropriate experience.

PREFERRED QUALIFICATIONS:
Master’s degree in business with 4 years’ experience with complex budgetary and accounting processes. Strong financial analysis and budget management and planning, time management, and organizational skills. Excellent interpersonal and communication skills. Attention to detail and a high level of accuracy. Understanding of University accounting and budget systems, Collective Bargaining Agreements, and University policies related to procurement, research grant activity, and human resources hiring and payroll processes. Proficiency in financial software and tools. Demonstrated ability to prioritize competing demands.
ESSENTIAL FUNCTIONS/JOB DUTIES:
- 45% - Manages the College’s multi-million-dollar budgetary requirements. Prepares annual zero-based budgets to include the state funded (E&G), auxiliary, grants, foundation, and inputs to special awards. Meets with Dean and department Chairs, to solidify requirements and monitors budget activity once allocations have been made to departments and programs. This involves daily oversight of OPS staff, student and salaries appointments, extra compensation activities, action sheets, new and recurring expenditures, Material & Supply and Equipment fees and other departmental auxiliary accounts, budget transfers and journal entries; review of all position descriptions and postings, faculty searches and related posting information; faculty start-up, graduate assistant matriculation fee waivers, and adjunct appointments and related costs. Also includes oversite of P-card Account Managers/Program Manager/Reconciler responsibilities for Dean’s Office and other college departments. - (Essential)
- 15% - Responsible for providing fiscal support in the setup, tracking, reporting, and oversite in new departments (Social Work) and large new multi-million-dollar programs within the School of Nursing (SoN Pipeline and BOG SoN Linking Industry to Nursing Education (Line funding). In this capacity, works closing with Academic Affairs and SoN to monitor program funding and expenditures and reporting to Academic Affairs and BOG. - (Essential)
- 10% - Works with Sponsored Research staff to facilitate grant administrative tasks including action sheets for Principal Investigators (PIs); collection, distribution and management of associated salary savings, extra compensation, college Research Incentive funding, department and faculty seed accounts, summer research appointments and other initiatives sponsored by the Research Office in collaboration with the college. Attends regular grant kick off meetings. Coordinates funding initiatives provided to the college with the Center for Research and Economic Opportunity and respective department Chair and PIs. Works with departments PIs and department Chairs on individual grant oversight questions as needed. - (Essential)
- 10% - Coordinates funding of college initiatives with UWF Foundation Office to include Interprofessional Collaboration Awards; provides oversite and approves general spending from departmental and college foundation account
