WHAT YOU’LL DO
The Accounts Receivable Clerk will be responsible for maintaining and reviewing data to provide accurate and timely entry to accounting systems. This includes Convention, Group, Special Event, Guests, Wholesale, and Travel Agency billing and reconciliation; applying payments and processing refunds; collections for all account types; resolving credit card issues for all account types; credit card chargeback reconciliation; and all guest customer service enquiries. The AR Clerk will be responsible for processing data in accordance to established accounting principles in an accurate, timely and efficient manner. Notify supervisor of any potential discrepancies and assists with research and resolution of issues. This role reports to the Accounts Receivable Supervisor.
ROLE EXPECTATIONS
Responsibilities include, but are not limited, to the following:
Bill and reconcile for all non-gaming accounts (such as Conventions, Groups, and Special Events, Guests, Wholesale, and Travel Agency/Wholesale accounts).
Assist sales in establishing customer credit in accordance with hotel policies and procedures, including but not limited to the application process, reference checks, credit limits, direct bill listing, deposit requirements, and other credit-related activities.
Maintain an efficient collection process, which includes an organized filing and tracing system, the distribution of demand letters, the monitoring of returned checks and charge backs, the performance of collection calls, and the preparation of bad debt write-offs.
Attend and participate in regular meetings (pre-convention, credit, etc.) in order to maintain positive working relationships amongst departments to improve productivity, efficiency and accuracy.
Monitor and prepare financial reports in accordance with hotel requirements while meeting various deadlines; for example, month end aging reports, etc.
Monitor the guest ledger, advance deposit ledger, and any other related subsidiary ledgers to ensure proper internal control.
Deliver accurate and timely and accurate invoices and statements to customers.
Process, submit and track all commission and/or rebates for all account types.
Respond to customer inquiries effectively and promptly. Communicate with other departments and supervisors as needed.
Communicate any unusual activities to your supervisor.
Perform other tasks as assigned.
SUPERVISORY RESPONSIBILITIES
This position does not have supervisory responsibilities.
REQUIREMENTS
6 months - 1 year of applicable AR (Accounts Receivable) experience
Communicate effectively with co-workers, management, and hotel guests.
Accurately review, post, and audit relevant information.
Accurately accept and process verbal and written instruction.
Respond and quickly adapt to changing work situations and environments.
Ability to work under stringent deadlines and pressure.
Must have proficiency and accuracy with adding machines and computers in addition to basic, functional knowledge of Microsoft Excel, Word, and Outlook.
Self-motivated team player with commitment to excellence and accuracy
PREFERRED
Previous lodging management system knowledge is preferred (AS400/LMS, Opera, etc.)
Functional Knowledge of credit card transactions and applicable regulations is preferred.
CERTIFICATIONS, LICENSES, REGISTRATIONS
Must be able to qualify for licenses and permits required by federal, state and local regulations.
PHYSICAL REQUIREMENTS
Must be able to work under time constraints and within established deadlines.
Must regularly lift and/move up to 10 pounds, and must have the ability to push, pull, reach, bend, twist, kneel and balance when performing job duties in varying work areas such as confined spaces.
WORKING CONDITIONS
Work is performed indoors in a climate-controlled environment and exposed to various environmental factors such as but not limited to noise, dust and smoke.
PAY RANGE
The pay range for this position is $19.00-$22.00/hour.
