What You’ll Do:

The duties listed below are intended only as illustrations of the various types of work that may be performed in this position. They are not intended to prescribe or restrict the assignments that management may make.

 

 

  • Collect information/data from customers and clients and entering data into a central database.
  • Catalogue the data with appropriate tags for ease of reference.
  • Perform quality assurance and high-speed data entry to ensure documents are completely and efficiently captured and images and indexing are accurate.
  • Audit inbound invoices/proposals against executed agreements and internal monitoring tools to verify that all charges are valid. 
  • Maintain an up-to-date portfolio of elevator certificates, inspections, invoices, payments, and other correspondence.
  • Conduct independent research and reviews through client files, state databases, reports, and invoices.
  • Provide direction of next steps to clients, vendors, and the authority having jurisdiction (AHJ) for several different properties/elevator units.
  • Coordinate resolutions to closure between internal Project Managers/Consultants and external contractors/vendors.
  • Track resolutions and perform detailed data entries into our internal database and external client systems.
  • Ensure a functioning, well-run electronic, paperless office.
  • Adhere to all company policies, procedures, and business ethics codes.
  • Perform routine office filing.
