Salary:  $82,835.00 - $92,037.00 Commensurate with Experience

Summary:

The Leave of Absence Administrator will oversee and manage employee leave requests, ensuring compliance with company policies, legal regulations, and best practices. This role will involve coordinating with team members and managers to facilitate smooth transitions and provide timely communication during employees' leave of absence.

Major Duties & Responsibilities:

  • Primary Point of Contact: Act as the main liaison for leave of absence, ADA, and worker’s compensation inquiries.
  • Leave Coordination: Provide guidance to employees regarding leave entitlements, required documentation, and the leave process.
  • Absence Tracking: Monitor and track leave status and collaborate with managers and administrative staff to ensure timely return-to-work accommodations.
  • Legal and Benefits Compliance: Advise employees, supervisors, and administrators on the intersection of leave laws with paid time off, worker’s compensation, and short- and long-term disability benefits.
  • Return-to-Work Management: Oversee the reintegration of team members returning from extended FMLA, worker’s compensation, or other leaves.
  • Accommodation Requests: Manage other leave and accommodation requests, including those under the ADA.
  • Confidentiality: Safeguard the confidentiality of employee medical records and personal information.
  • Regulatory Knowledge: Stay informed about FMLA, ADA, and relevant state and local leave laws.
  • Documentation Management: Review and process leave requests and supporting documentation; issue required notifications, forms, and letters.
  • Leave Tracking: Track all types of leave (continuous, intermittent, paid, and unpaid) in line with policies and procedures.
  • Collaboration with City Departments: Liaison with City HR and Risk Management to submit necessary documentation for pending cases and represent the department at related hearings.
  • Vendor Benefit Tracking: Monitor and report claims using vendor reports and data.
  • Workers' Compensation Support: Manage worker's compensation cases requiring restricted duty or absences, guiding both employees and supervisors through the process and responsibilities.
  • Appraisal Coordination: Assist with timely completion of employee performance appraisals, ensuring supervisors are informed of merit dates and due action dates. Review appraisals, track due dates, and assist in managing annual increases and lump sum payouts.
  • Drug & Alcohol-Free Workplace Program: Serve as the Designated Employee Representative (DER) for the City’s Drug & Alcohol-Free Workplace Program.
  • Additional Duties: Perform other related duties as assigned.
  • On-Site Requirement: Must work on-site a minimum of four days a week.

Knowledge, Skills & Abilities:

  • Strong verbal and written communication skills, with the ability to prepare and present clear, concise reports and correspondence.
  • In-depth knowledge of FMLA, ADA, workers' compensation, and other relevant state and federal regulations.
  • Exceptional organizational, interpersonal, and communication skills.
  • Professional demeanor with a commitment to adhering to the City’s Code of Ethics and Guiding Principles.
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word) and familiarity with HR software (e.g., Workday, PeopleSoft, Kronos).
