Job Description:
The Faculty-Led Program Specialist is responsible for the daily management of LSU’s faculty-led study abroad programs. This includes recruitment, evaluation, and assessment of the programs, along with ensuring the collection and organization of required documentation. The Faculty-Led Program Specialist collaborates with the Associate Director of Faculty Development, faculty, and staff to manage the program proposal processes, maintain documents, forms, and systems, and support faculty with program development and compliance.
Job Responsibilities:
Faculty-Led Program Support
Manage and update faculty-led program web pages, including application cycles, program dates, budgets, itineraries, and content.
Oversee enrollment management and provide support to faculty directors and LSU SA in processing applications.
Act as a liaison between external program partners and LSU, ensuring seamless coordination of program logistics and an optimal student experience.
Ensure that faculty-led programs adhere to risk management and safety protocols, including providing faculty with pre-departure training and emergency support procedures.
Support faculty in developing marketing strategies to promote programs, including creating promotional materials, social media content, and targeted outreach.
Assist in organizing information sessions, fairs, and presentations to recruit students for faculty-led programs.
Promote inclusive programming that reflects the diverse student population at LSU, ensuring that programs are accessible and culturally responsive. 40%
Manage the faculty-led program database through Terra Dotta, ensuring that information is accurate, up-to-date, and accessible.
Use project management tools such as Asana to track program progress, deadlines, and tasks related to faculty-led program development.
Oversees the program budget payment and reconciliation process, to include assisting faculty program directors in organizing receipt documentation, reviewing all invoices from customized programs, paying invoices in a timely manner, and checking program-related expenses against program budgets in coordination with SA leadership.
Oversee vendor registration, contract negotiations, and compliance, ensuring adherence to LSU General Counsel guidelines and relevant university policies.
Report Clery Act data in coordination with campus partners to ensure federal compliance. 30%
Faculty Led Development
Develop and maintain strong relationships with faculty program directors to ensure the success and sustainability of faculty-led programs.
Collaborate with campus offices (e.g., Financial Aid, Registrar) to ensure smooth coordination of program logistics and student support.
Collect and organize data for annual SA reporting and other relevant data needs.
Develop and implement student evaluation and program assessment processes, providing reports to college leadership.
Coordinate with campus units, such as Financial Aid, the Registrar, and Academic Departments, to streamline student enrollment and participation. 15%
Education Abroad Development
Maintain in-depth knowledge of University policies related to Study Abroad and respond to student, parent, and faculty inquiries.
Ensure continuous professional development through self-directed learning, benchmarking best practices, and Education Abroad field engagement. 15%
Minimum Qualifications:
Bachelor's degree
Specific Experience:
Experience studying, living, or working abroad.
Strong interpersonal, oral, and written communication skills.
Proven ability to manage multiple tasks, organize effectively, and work independently as well as in teams.
Proficiency with Microsoft Office (Excel, PowerPoint, Word).
Ability to work occasional evenings or weekends as required.
