Our office, Lowell, Nashua & Chelmsford Oral Surgery - Lowell, is seeking an Administrative Assistant to join our busy specialty practice. 

We are seeking a talented and dedicated Dental Administrative Assistant to play a key role in supporting the day-to-day operations of the dental practice. As a vital part of our team, you will assist the Practice Manager in managing administrative tasks, coordinating patient care, and ensuring smooth office operations. Your Responsibilities


As the Dental Administrative Assistant, you will serve as a critical liaison between the clinical staff, administrative team, and patients. Your main responsibilities will include:

  • Assisting the Practice Manager in overseeing daily office operations and maintaining a smooth workflow.
  • Coordinating patient scheduling, appointment confirmations, and follow-up communications.
  • Managing patient billing, insurance verifications, and claims processing, ensuring financial arrangements and collections are handled timely.
  • Addressing and resolving escalated patient concerns to ensure a positive patient experience.
  • Supporting the training and onboarding of administrative staff, and providing leadership in the Practice Manager’s absence.
  • Monitoring office performance metrics to identify areas for improvement.
  • Maintaining compliance with healthcare regulations, including HIPAA, and ensuring adherence to office protocols.
  • Collaborating with clinical staff to ensure patient records are accurate and well-maintained.
  • Managing office supplies and vendor relationships as needed.
  • Ability to work Monday - Thursday from 7:30am-5:00pm and Friday from 7:30am-3:00pm

Your Background
You are an experienced Dental Administrative Assistant with strong organizational skills, a knack for multitasking, and a passion for patient care. In this role, you'll need:

  • 2+ years of experience in a dental office setting, with administrative or management support roles preferred.
  • Proficiency in dental practice management software and patient management systems.
  • Excellent communication and interpersonal skills, with a focus on patient-centered care.
  • Knowledge of dental insurance verification, billing, and financial processes.
  • Strong leadership abilities, including training and mentoring administrative staff.
  • A solid understanding of HIPAA regulations and patient confidentiality protocols.
