Qualifications

Position Summary

DOT Compliance Administrative Assistant will work with DOT Team to ensure smooth fleet operations and compliance with Federal and State regulations.  This position is responsible for accurately processing driver qualification files in addition to assisting with company drug and alcohol programs to ensure compliance with FMCSA regulations, DOT, company policies and guidelines.


Responsibilities & Duties

Fleet Responsibilities

  • Maintain compliance with all vehicle titles, tags, registrations and keep records of legal and purchasing documents involved within the company’s fleet.
  • Assist with records and setting up new gateways for purchased assets.

  • Coordinate all departments of motor vehicle transactions including titling, registration and cab card distribution.

  • Manage all third-party systems that include vehicle-based records including ELD/telematics, fuel, tolls, overweight permits and vehicle maintenance systems.

  • Work with logistics team on certificates of insurance for outside freight brokers.

  • Work with a third-party system for registration and certification of outside carriers.

  • Monitor and update all vehicle additions and deletions to ensure records remain accurate on third-party systems.

  • Monitor all fuel programs including issuing and recovering fuel cards and PINs and monitoring usage of all fuel systems for fraud prevention.

  • Coordinate with management and operations to implement and manage detailed, proactive systems to ensure compliance with Federal and State regulations as well as company requirements for insurance and credit leasing.

Compliance Responsibilities

  • Maintain driver files and ensure compliance with driver qualification files, programs.

  • Run required reports to meet regulatory requirements for annual driver reviews, medical certifications, renewed drivers’ licenses, drug and alcohol reviews, etc.

  • Ensure new-hire driver onboarding process is completed.

  • Assist with HOS violations and any safety events daily.

  • Track and submit IFTA, IRP, MCS, and UCR filings.

  • Distribute monthly safety reports to internal staff.

  • Assist with accident investigations and reports as needed for DOT compliance.

  • Other duties as assigned.

Qualifications & Skills

  • High School Diploma/GED

  • Familiarity with DOT and FMCSA regulations a plus.

  • Ability to process information with high levels of accuracy.

  • Ability to handle confidential information with discretion.
