Live and work in Vienna, one of the world’s most vibrant cities. The city is home to around 2 million people. Despite its size, Vienna retains the feel of a large town. Part of that is down to the numerous parks, woodlands and outlying hills, perfect for families.
Your New Role
As a skilled Project Administrator, you will play an integral part in project coordination and documentation management. Your key responsibilities will include:
- Manage and maintain project documentation, including filing systems, databases, and processes to ensure accurate and up-to-date information.
- Facilitate effective communication by scheduling meetings, preparing agendas, and distributing minutes for project-related meetings.
- Assist the project manager in tracking project timelines, deliverables, and milestones using project management tools.
- Support financial administration, including processing invoices, tracking budgets, and generating financial reports.
- Coordinate travel arrangements, accommodations, and event logistics for team members and stakeholders.
- Serve as the first point of contact for project-related inquiries and correspondence.
- Ensure adherence to legal, environmental, and industry standards and policies.
You will contribute to diverse projects within energy transition with the goal of decarbonising the city of Vienna by 2040, such as:
- Modernisation of existing energy production facilities (e.g. upgrading an energy from waste plant)
- Construction of new alternative energy generation plants (e.g. biomass, wind farm, geothermal)
- Hydrogen production or application (e.g. construction of hydrogen production facilities)
- Combined generation plants for heating and cooling energy as well as electricity
- Waste generation and management (e.g. construction of recycling plants)

About You
For this role, it would be beneficial to have the following qualifications and experience:
- Bachelor's Degree in Business Administration or similar
- 1-2 years of experience in a project administration or coordination role
- Experience with large design projects in an international environment, preferred
- High attention to detail with excellent time-management and communication skills
- Proficiency in Microsoft Office Applications (Word, PowerPoint, Excel)
- Excellent English language skills, German language skills are a bonus
- An understanding of the energy sector or a demonstrated interest in energy transition and sustainability.
