Job Title: Human Resources Assistant
Department: Human Resources
FLSA Status: Non-Exempt
Reports to: Executive Director, Human Resources
Work Schedule: 35 hours/week

Hourly Range: $20.22 - $25.00
General purpose: The HR Assistant is responsible for the daily operational functions of the HR department, and manages the hiring and onboarding of MICA student employees.. Provides administrative support to the Executive Director, Human Resources, and HR Team. This position serves as the Department’s first point of contact for guests and visitors. Maintains and fosters a warm and welcoming environment within the HR suite.
Essential Duties & Responsibilities:
Serves as the main point of contact for the department’s main telephone and email accounts, handling inquiries, or directing emails or calls to the appropriate area.
Performs the full-cycle recruitment process for all student workers and ensures adherence to policies and federal and state regulations.
Serves as the primary point of contact for the work-study program administered by the Office of Financial Aid and Graduate Intern and Graduate Assistant programs administered by Academic Affairs.
Assists with new hire onboarding and orientation including background checks, 1-9 processing
Provides guidance and support to supervisors on policies and procedures regarding performance and conduct concerns with student workers.
Assists with the development and execution of campus-wide engagement and recognition programs and events.
Responds to reference checks and employment verification requests.
Reconciles the department credit card and processing of all invoices.
Purchases office supplies and furniture, office equipment, etc., for the department in accordance with MICA’s purchasing policies, procedures, and budget.
Organizes, files, maintains and destroys records according to established procedures. Scans employment forms and faculty contracts to the appropriate employee’s electronic file.
Maintains the department website and makes changes and updates as needed
Serves as a liaison between the HR department and the Technology department, Payroll, Budget, and other campus constituencies to provide systems support and analysis.
Performs other duties and responsibilities as assigned or needed.

Proficiency in basic data management systems and basic computer applications (e.g., Word, Excel, PowerPoint, Publisher, Photoshop or GIMP, WordPress).
Willingness and ability to learn additional applications as needed.
Ability and willingness to occasionally work weekends, evenings, and other non-traditional schedules.

Minimum qualifications:
High School Diploma
2+ years of experience providing administrative support.
Experience working within a complex office environment with frequently shifting tasks, and priorities and often with frequent interruptions.
Experience working with multiple constituencies in sometimes difficult and stressful situations.
Experience that demonstrates the highest personal levels of uncompromising integrity, honesty, and discretion.
Must possess a record of service that demonstrates concern for the well-being of others.
