Job Summary
The Project Administrator will support the Strategic Project Management Office by assisting in the planning, execution, and monitoring of strategic projects across the organization. This role is pivotal in ensuring that project objectives align with the organization’s strategic goals, facilitating effective communication among stakeholders, and maintaining project documentation and schedules.
Responsibilities
Essential functions
- Leads planning, executing, and monitoring efforts of small strategic initiatives and interdepartmental projects.
- Assists project managers in planning, executing, and monitoring larger strategic initiatives.
- Develops and maintains project schedules, timelines, and status reports.
- Coordinates cross-functional teams to ensure timely completion of project deliverables.
- Schedules and facilitates project meetings, prepare agendas, and record minutes.
- Tracks project progress and escalates issues or risks to the appropriate stakeholders.
- Creates, updates, and manages comprehensive project documentation including project charters, project plans, RAID logs, and change requests.
- Compiles and distributes regular project status reports to senior management and stakeholders.
- Ensures that all project documentation is maintained in accordance with PMO standards and best practices.
- Serves as a central point of contact for internal and external stakeholders.
- Facilitates communication between project teams, business units, and executive leadership.
- Supports the implementation and continuous improvement of project management methodologies, tools, and processes.
Non-essential functions
- Assists in developing training materials and best practice guidelines for project teams.
- Identifies opportunities for process optimization and contribute to PMO strategy and governance initiatives.
- Monitors project risks and issues; assist in the development of mitigation strategies.
- Perform other duties as assigned by supervisor or designate
Qualifications
- Bachelor’s degree in business, data analytics, project management, or a related field preferred
- Experience in project management office (PMO) reporting, portfolio management, or a related role.
- Strong analytical skills with a keen eye for detail.
- Excellent written and verbal communication skills.
- Familiarity with project management methodologies (e.g., Agile, Waterfall) and tools (e.g., Jira, Smartsheet).
- Ability to work collaboratively and manage multiple priorities in a fast-paced environment.
- Must be able to read, write and speak in English.
- Prefer strong working knowledge of PC for Windows, Microsoft Office Suite, Internet, and Email.

- Excellent customer service skills, including being competent, accurate, responsive and engaged.
