Purpose of the Role

Reporting to the Director of Talent Acquisition, the People Team Coordinator will allow the People Team to deliver a highly efficient recruiting and operations process. This role will provide administrative support to the People Team focusing on recruitment coordination. This role will be responsible for the scheduling and coordinating of interviews, maintaining candidate profiles, and serving as a liaison for hiring managers throughout the recruitment process. The People Team Coordinator will also partner with the other team members to help enhance the onboarding process and provide metrics on the overall recruitment process.

Core Job Responsibilities

Recruitment

  • Coordinate for the execution of full life-cycle recruiting, including posting open roles, vetting and screening resumes, scheduling interviews, maintaining candidate profiles and creating offer letters
  • Serve as a point of contact for candidates, external job boards and hiring managers
  • Work closely with Recruitment Leaders to carry out the recruiting strategy 
  • Coordinate onboarding process
  • Help streamline ATS to adhere to the internal recruitment process to ensure a positive stakeholder experience 

Operations / Administration

  • Support the People Team in managing their calendars, ensuring that they spend the majority of their time on their highest priorities
  • Manage HRIS & ATS to capture, organize and report staff data including but not limited to engagement data, recruitment data and demographic information
  • Monitor & triage People Team tickets & requests through Freshservice
  • Draft & post weekly People Team communications via Slack
  • Coordinate logistics for new hire orientation
  • Organize & submit monthly expense reports
  • Perform other duties as assigned

Key Deliverables / Outcomes

  • Recruitment:
    • Weekly recruitment, hiring, and onboarding reporting
    • Streamlined process to manage interview scheduling between candidates and members of the hiring teams
  • Operations / Administration
    • Ensuring manager’s calendar is accurately reconciled 95% of the time (e.g., meetings are scheduled accurately and on-time, travel time is accounted for in calendar when necessary, etc.)
    • Standardized People Team reporting including monthly demographic reports
    • Organized departmental process documents 

Required Qualifications

  • 1 - 3 years of experience within Administration or Human Resources
  • Excellent organizational skills; demonstrated ability to prioritize, multi-task, and follow through on short- and long-term assignments 
  • Strong written and verbal communication skills
  • Proactive, flexible, and resourceful work ethos; ability to anticipate needs, take initiative, and remain calm and effective under pressure
  • Experience with Workday or other ATS is preferred
