The Group Sales Coordinator supports Rental Operations by ensuring profitability, sales, and operational excellence. This role works directly with internal and external clients and departments to service and manage group business, drive rental sales efforts, generate leads, and ensure seamless execution of group events.

The Coordinator is primarily responsible for providing prospective groups with complete and accurate information on our properties, maintaining detailed group accounts and documentation, including contracts, resumes, rooming lists, payment schedules, and operational communications, and coordinating with resort teams to ensure every group receives seamless, high-quality experience. 

As a Group Sales Coordinator, you would be responsible for representing the hotel's services and facilities to prospective clients and customers in the hotel's continuing effort to deliver outstanding guest service and financial profitability.

ESSENTIAL DUTIES:

  • Coordinate assigned group accounts, ensuring accuracy of reservations in the PMS system. Collect payments, process rooming lists, manage cutoff dates, and oversee deadlines. Communicate with group leaders regarding special requests and opportunities to increase room pickup. Communicate with resort operations to ensure readiness for group arrivals.
  • Receive and process group inquiries from multiple sources, including IHG brand website, Meeting Broker, HotelPlanner, departmental phone line, and Groups email inbox.
  • Responsible for managing assigned projects through completion, such as  lead generation, new business initiatives, competitive market analysis,  extended stay programs, process improvements, and SOP documentation.
  • Partner with Rental Sales Managers to grow rental revenue and provide additional support as needed.

REQUIREMENTS:

  • High school diploma required, and college degree preferred.
  • Associate degree in Hospitality Management/Business Administration and/or 2-3 years of experience and/or equivalent combination of education and experience.
  • 2-3 years of Group coordinator experience.
  • Excellent communication skills including written communications, speaking and presentation development and delivery.
  • Strong decision making and problem resolution skills.
  • Ability to multi-task and work under multiple deadlines.
  • Ability to work as a team and be part of a dynamic team environment.
  • Possesses strong organizational skills
  • Strong skills in balancing folios, reconciling accounts, and working with numbers accurately and efficiently.
  • Highly motivated who gets things done with minimal guidance.
  • Must have desire to learn, and ability to master new systems and tools.
  • Ability to work well with other team members and cross-functional teams.
  • Excellent customer service skills
  • Expert level experience required for: Microsoft Office (especially Microsoft Excel, Word and PowerPoint).
