Located in Danville, KY, the historic, picturesque 150-acre campus is 30 miles from Lexington, in the famed Bluegrass Region of Central Kentucky.
The Administrative Assistant for Student Health provides comprehensive clerical and administrative support to Student Health Services and Centre Counseling Services. Reporting to the Vice President for Student Life through the Director of Student Health Services, this position is a key member of the Student Life team, contributing to a welcoming, inclusive, and efficient healthcare environment for students.
Essential Job Functions:
- Collect and review health documentation from incoming students (e.g., medical history, immunization, TB screening).
- Maintain and update tracking spreadsheets for student record review.
- Schedule student appointments using the Electronic Medical Record (EMR) system (currently PyraMED).
- Check-in and room students for appointments; review EMR alerts as needed.
- Assess and accommodate walk-in requests when possible.
- Communicate with hospital lab couriers for specimen pickup.
- Conduct daily chart reviews for accuracy in diagnoses and billing.
- Notify faculty regarding excused absences and distribute health-related notifications (e.g., concussion letters).
- Answer phones, check voicemails, and respond appropriately.
- Compose and send campus-wide announcements (e.g., flu shot clinics).
- Assist students, faculty, and staff with counseling appointment procedures and information.
- Promptly coordinate response when a student presents with a mental health crisis.
- Maintain drug information sheets and manage inventory in PyraMED (lot numbers, expiration dates).
- Generate reports and track clinic data as needed.
- Supervise student workers and approve timecards.
- Process billing and coordinate with the Finance Office.
- Order and maintain office and health-related supplies for both Health and Counseling Services.
- Reconcile credit card statements and manage budget-related documentation.
- Complete check requisitions for physician payments and other expenses exceeding credit card single purchase limits.
- Schedule spaces and logistics for Student Health-sponsored events.
- Support tabling, promotional events, and health-related programming.
- Coordinate biohazard waste pickup as needed.
- Coordinate medical supply needs for departments like Residence Life.
- Submit facilities work orders for Student Health and Counseling areas.
- Distribute departmental mail.
- Maintain proficiency in EMR systems and assist with troubleshooting.
- Support development and distribution of patient satisfaction surveys.
- Participate in regular office goal setting and student learning assessments.
- Protect student health information in accordance with FERPA.
- Demonstrate an appreciation for and sensitivity to a diverse academic community, fostering an inclusive environment for students, faculty, and staff from a variety of social, economic, cultural, ideological, racial, and ethnic backgrounds.
Qualifications
Education and Experience
- High school diploma required.
- Prior experience in an administrative or clerical support role required.
