General Description of the Job Class
The Mechanical Circulatory Support (MCS)/Ventricular Assist Device (VAD) Administrative Assistant will partner with the team members of the MCS program to resolve moderately complex (non-routine) administrative problems independently or with others. Problem resolution may include research. Tasks are typically diverse and advanced.
Duties and Responsibilities of this Level

Physically able to lift a minimum of 35lbs as this role requires frequent moving and walking

In addition to tasks outlined in the Administrative Clerk description, examples of work at this level may typically include some combination of the following:

Prioritize and resolve patient, staff or departmental inquiries (phone, epic inbasket, e-mail, in person).

Serve as a primary scheduler for the mechanical circulatory support program
-
Provide administrative assistance to departmental staff within the mechanical circulatory support program to support program objectives.

Co-train to the role of VAD equipment manager

Independently prepare complex documentation, reports, charts, graphs, and spreadsheets at designated intervals and as requested.

Coordinate special projects.

Research budget variance and follow up to resolve issues in partnership with the Clinical Director for Advanced Heart Failure.

Develop advanced presentation materials.

Prioritize and resolve patient, staff or departmental inquiries (phone, epic inbasket, e-mail, in person).

Schedule and maintain a calendar of appointments, meetings and travel itineraries, and coordinate related arrangements.

Act as a liaison between the mechanical circulatory support program and external groups.

Explain policy/procedures to other parties based on knowledge of the company and department guidelines.

Collect, compile and analyze moderately complex data and information including the input of clinical data into RedCap.

Coordinate and/or participate in public relations activities to include preparing and editing patient and staff-facing brochures and informational materials.

Creates and revises systems and processes by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements; implementing changes in partnership with the leadership team

Perform other related duties incidental to the work described herein.
Minimum Qualifications
Education
High school education or equivalent.
Experience
Two years of administrative support experience in increasing variety and/or complexity
Strongly prefer experience in the heart center
Strongly prefer experience with scheduling and calendaring
