The neighborhood, known for its vibrant atmosphere, includes major hotels, legal, professional and news media offices, a variety of restaurants and significant cultural attractions.
This non-exempt employee will assist attorneys in accomplishing clients’ goals by using organizational, analytical, and communication skills. Position requires individual who has document management and computer technology skills and who pays strict attention to detail.Essential Duties
Performs assigned factual and/or basic legal research tasks using all available resources including libraries and computer data systems.
Assists with deposition and trial preparation.
Establishes, organizes and maintains pleading boards, attorney trial notebooks, witness notebooks, document indexes and lists. Devises file organization schemes and supervises file maintenance. Prepares exhibits and schedules.
Assists with document productions, including with preparation of privilege and redaction logs; coordinates demonstrative evidence for hearings and trials; cite checks and assists with preparing briefs for filing.
Attends and contributes to organization/section meetings.
Assists with finalizing and submitting legal filings, including service of copies to opposing counsel and court chambers (in person, by mail, and/or electronically).
Other Duties
Attend and participate in training programs for professional development and building technology skills, e.g., Compulaw, LexisNexis, and/or Westlaw training.
Meets the billable hours expectations and adheres to best practices.
Performs other related duties as needed or assigned.
Reporting Relationship
The Project Assistant reports directly to Human Resources or the Office Administrator.
Qualifications
Knowledge/Experience
The Project Assistant must be able to effectively utilize electronic document applications while having the ability to create, compose, and edit written materials. Knowledge of Outlook and Adobe platforms is preferred.
Skills
The Project Assistant must possess excellent verbal and writing skills. Strong computer proficiency is a must, with particular knowledge of Microsoft Word, Excel and PowerPoint. Strong communication skills are a must. Must be familiar with effective administrative processes and possess the ability to manage a multitude of tasks and cases simultaneously. The Project Assistant should be able to work independently with minimal supervision, as well as be an effective member of the team. The ability to work with many different types of personalities at all levels of the organization is a must. Strong organizational, multi-tasking and prioritization skills are required, as well as strict attention to detail. This individual will need to meet hard deadlines in a fast-paced environment.
Education
Must possess a high school diploma or equivalent; college graduate preferred.
Physical Demands
Must be able to move around the office up to 15% of the time to make copies, fax, file, etc; Remains stationary at least 75% of the time; This position constantly operates computers and other office productivity machines (e.g., fax machine, copier, printer, etc.); Occasionally required to move documents or files weighing up to 15 lbs.; This position requires constant communication and exchange of information with the Firm attorneys, clients and staff; This position must be able to inspect and observe information on a computer screen at least 80% of the time.
