The Role
CAA is looking for an Early Careers Recruiting Assistant to join our diverse and dynamic workforce. With a keen lens on Diversity, Equity, and Inclusion, this Assistant will provide administrative support to the Head of Early Careers Recruiting, as well as the national Early Careers Recruiting team as assigned. This team is dedicated to finding the best talent to work in a variety of entry-level and support functions across the agency. The Early Careers Recruiting Assistant will take an active role in the recruitment process by scheduling meetings/interviews; taking and maintaining meeting notes; tracking and coordinating various recruiting events, projects and initiatives; answering applicant and candidate inquiries; utilizing Workday to support the applicant tracking and hiring process; and performing any special projects as requested. The position provides an opportunity to learn about the Early Careers Recruiting process from the Head of Early Careers Recruiting.
Responsibilities
Schedule meetings, answer phones, make travel arrangements, and other administrative support as required for the Head of Early Careers Recruiting.
Take and track meeting/phone call notes for Head of Early Careers Recruiting.
Track and coordinate various recruiting events, projects and initiatives for Head of Early Careers Recruiting, including ad hoc reporting and slide decks.
Maintain budget tracking and complete expense reports for Head of Early Careers Recruiting in a timely fashion.
Coordinate logistics for various Early Careers and campus recruiting events (in-office, virtual and off-site): room scheduling, speakers, working with Campus Recruiters on run of show, support with slide decks, etc.
Support the coordination of hiring activities for Intern and Mailroom hires: post job descriptions, screen candidates, schedule interviews, assist with extending verbal offers, creating offer letters, initiating background checks, etc.
Collaborate with other members of the Human Resources team to ensure a high level experience for Interns and Mailroom hires.
Maintain and update database of key university and college contact list.
Provide general customer service as it relates to Early Careers recruitment inquiries (both internal and external).
Conduct informational interview with prospective candidates
Perform additional Early Careers Recruiting duties as assigned.
Qualifications
Bachelor’s degree required. Entertainment and/or college recruiting experience is a plus
0-1 years of work experience in a recruiting and higher education function (ex: Recruiting Assistant, Recruiting Coordinator, Admissions Counselor, Career Services Associate, etc.)
ATS and CRM experience preferred, experience with Workday systems a plus.
Extremely flexible, proactive, highly organized, ability to shift priorities, multi-task and handle heavy work flow processing.
Ability to build strong business partnerships internally and externally.
Ability to connect with and influence internal and external business stakeholders.
Team player with a high sense of urgency; able to interact across all levels of the organization.
