pureIntegration, a technology consulting firm with 17+ years of experience servicing fortune 100 clients, is seeking a Project Administrator I to join our team. The successful candidate will be responsible for supporting and driving projects for day-to-day project planning and delivery, drive scheduling, strategic planning, issues resolution, and scope definition for end to end projects, including tracking of development and test cycles across all relevant engineering and business teams, and to drive the daily change control and communication strategy.  Documents process enhancements and proposed change management solutions that improve process efficiency.

Location: Philadelphia, PA Candidates that can commute to Philadelphia to be in the office twice a week are welcome. 

Work Arrangement:  Contract W2 hourly role, initial contract period through 12/31/2023 with possible extension for additional year. 

Work Authorization: USCIT, Green Card. We Do Not Sponsor H1B Visas, or C2C

Core Responsibilities:

Purchasing

  • Administration of development team purchase orders and change orders as needed
  • Post training, provide guidance and training to vendors on Invoice submittals
  • Work with Sr. Purchasing Manager and CPM’s to close out projects within 30 days of store opening
  • Work with CPM’s to update Procore project costs as PO’s are final invoiced
  • Support branded partner cost tracking efforts
  • Vendor material inventory tracking and report up
  • Support Tenant Allowance collection
  • Distribute weekly Tenant Allowance tracker
  • Issue General Contractor AIA contracts per project and utilize data to update cost tracking
  • Work with General Contractor to gather all Final lien waivers

Development

  • Support design in collecting layouts/plans, redline, revisions and presentation renderings as necessary
  • Coordinates documents with architects and internal business partners
  • Assist in survey review documentation and distribution
  • Create projects in Procore and maintain project directory
  • Develop new reports & Re-create Smartsheet Reports and Dashboards utilizing the updated Master Data sheet
  • Keep Master database structure and data points current with all Project information from Real Estate, Design and Construction
  • Keep all dashboards, forms and automations up to date as necessary and as requested
  • Update smartsheet project notes on all status calls
  • Work ahead of calendar to set up project dashboards for the following year
  • Contact Smartsheets team as needed for background refresh's
  • Assist the Department Team where applicable, in the day-to-day duties of project administration from lease exhibit development through project closeout.

Real Estate

  • Update Division/Region sync decks
  • Send weekly Division lease renewal update email
  • Coordinate with Real Estate Directors to capture and confirm lease renewal updates and status in Smartsheets
  • Upload important documents to Procore and validate in Smartsheets
  • Import P&L excel into Smartsheets - create lookup report in Smartsheets
  • Zip Code analysis data pull - compile data in excel & match the map zip codes with transactions
  • Estoppels & SNDA - verify information in the document based on Leases and facilitate execution process with legal and Divisions/Regions

Qualifications:

  • Bachelor’s or Master’s Degree in Computer Science, Business Administration, or other related fields—or equivalent work experience
  • Requires 2- 4 years of experience.
  • Advanced proficiency in Smartsheets (formulas, dashboard widgets and pivot table app)
  • Advanced proficiency in Microsoft Excel (pivot tables)
  • Advanced proficiency in PowerPoint
  • Experience with CIFA, Oracle Business Suite, Hyperion Essbase, Smart View, or Procore
  • Excellent organizational skills and the ability to work on multiple projects
