The Role You'll Play to Create Success
We are excited to announce a full-time Benefits Sales Administrator position filled with many exciting opportunities! In this role, you will have the opportunity to impact the FrankCrum business everyday by leading the intake, review, coordination, and processing of proposals for new and renewal group benefit plans. The role ensures that proposal submissions are complete, accurate, and efficiently routed through the internal underwriting and sales workflow.
- Serves as subject matter expert for proposal intake processes and systems, including training internal team members.
- Maintains standardized intake checklists, documentation protocols and submission quality standards.
- Reviews and evaluates incoming proposal requests to ensure completeness, accuracy, and alignment with submission guidelines.
- Performs structured pre-underwriting quality review to validate required documentation, census accuracy, participation details, and contribution structures prior to underwriting engagement.
- Coordinates collection of required client data, documentation, and census information needed for proposal development.
- Identifies missing or inconsistent data and partners with Sales to resolve deficiencies prior to routing to underwriting.
- Assigns and routes proposals to the appropriate, both internal and external, underwriting and/or sales resources while maintaining workflow accuracy and efficiency.
- Ensures submissions are routed in accordance with established service level expections and intake prioritization standards.
- Maintains and updates proposal activity and client information within HubSpot in a timely and accurate Manner.
- Provides consultative support to brokers, sales staff, and internal team by answering questions related to submission requirements, timelines, and processes.
- Monitors proposal deadlines, ensuring timely follow-up and escalation when needed.
- Tracks intake turnaround benchmarks and identifies workflow bottlenecks or delays for leadership visibility.
- Assists in the development of process improvements, documentation, and standard operating procedures for the proposal intake function.
- Supports annual open enrollment initiatives, new product rollouts, side by side comparisons, and other operational needs as directed.
- Acts as a key resource for team-wide training topics related to intake processes, systems, and data integrity.
- Ensures complete documentation package and accurate submission summary accompanies each handoff.
- Participates in special projects as requested by management.
- Supports agency wide initiatives aimed at improving proposal workflow scalability and operational effectiveness

- Knowledge of group benefits, insurance products, and proposal/underwriting requirements.
- Knowledge of company services and products
- Strong attention to detail, and ability to review complex documents for completeness and accuracy.
- Proficiency with CRM systems such as HubSpot and other workflow platforms.
- Ability to collaborate across underwriting, sales, account management, and operational teams.
- Ability to manage multiple proposals and deadlines simultaneously.
- Skills to use and compose clear, comprehensive, and accurate verbal and written communication and reports.
