The MIT Lincoln Laboratory Beaver Works Center (MIT Beaver Works) conducts research and educational programs that strengthen and expand collaborative efforts between Lincoln Laboratory and MIT Campus. It is a joint center chartered by the MIT School of Engineering and MIT Lincoln Laboratory that is open to all MIT students, faculty, and collaborators. Initiatives run out of Beaver Works include capstone courses for MIT seniors, joint research projects between MIT faculty and Lincoln staff, and an intensive four-week summer program for rising high school seniors called the MIT Beaver Works Summer Institute (BWSI).
Position Description
We are actively seeking highly motivated, resourceful, and creative people to join our team. We pride ourselves in having a very fast-paced, positive, and productive work environment. The Administrative Assistant will partner with the Director, Manager, and the Operations Manager to provide day-to-day support across all the activities within the Beaver Works Center located in Cambridge, MA. These responsibilities include the prioritization, coordination, implementation, and tracking of all administrative workflow within our team, to include on-line procurements, shipping requests, and work orders. The Administrative Assistant will be responsible for the maintenance of office supplies and equipment, and will also coordinate facility schedules and meeting requests. This role also includes supporting the planning and execution of the Beaver Works Summer Institute (an MIT educational outreach program). Responsibilities involved with planning the Beaver Works Summer Institute include scheduling meetings, finding classroom and collaboration space for the courses, working with campus safety department for approvals, and assisting with event planning. The Administrative Assistant should also be proficient in social media (Twitter, Facebook, and Instagram) and be able to create content that resonates with the interests of the intended audience, and is unique to the typical interactions of each channel.
This is a part time position. This role requires 20 hours a week and the position is located at Beaver Works in Cambridge, MA
Requirements
Experience in the following areas is required:
- High school diploma or equivalent is required, post high school education preferred
- At least 2.5 years of directly related experience required. Post high school education will count towards experience
- Demonstrated ability handling multiple assignments, set priorities, meeting deadlines, etc. with minimal supervision and experience demonstrating the application of a professional and effective approach to problem solving
- Effective written and oral communication skills
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, and Outlook)
Experience in one or more of the following areas is desired:
- Familiarity with SAP
- Previous marketing / social media experience a plus
