Administrative Coordinator – Business Analytics and Insights
What you will do

The Business Analytics and Insights team is seeking a highly organized and proactive administrative professional to support Executive Directors within the Business Analytics and Insights (BAI) team. This role is central to enabling team effectiveness—providing seamless executive support while helping drive coordination, communication, and team engagement across a fast-paced, highly collaborative organization.
The ideal candidate is not just reactive, but anticipates needs, manages competing priorities, and plays an active role in keeping leaders and teams operating efficiently.
Flexible Commuter role to the Thousand Oaks, CA office.
Executive Support
- Manage complex, high-volume calendars across multiple leaders, including scheduling across time zones and prioritizing competing demands
- Coordinate domestic and international travel in alignment with company policies
- Prepare and process expense reports accurately and in a timely manner
Communication & Coordination
- Manage team email distribution lists and support dissemination of communications (e.g., organizational announcements)
- Liaise with cross-functional partners and executive assistants to align schedules, workflows, and priorities
- Maintain regular communication with stakeholders, including tracking follow-ups and flagging key action items
- Assist in preparing, proofreading, and formatting communications
Team & Operational Support
- Coordinate end-to-end meeting logistics, including scheduling, room bookings, catering, technology, materials, and agenda support to ensure seamless execution
- Support team culture and engagement initiatives, including team meetings, offsites, and on-sites
- Provide backup support to other administrative team members as needed
- Assist with special projects and broader team operations

Basic Qualifications:
Associate’s degree and 2 years of administrative experience
OR
2 years in a technical school setting with hands-on experience
OR
High school diploma / GED and 4 years of administrative experience
Preferred Qualifications:
- 5+ years of experience in an administrative support role supporting large teams at different levels
- Ability to work in a fast-paced, deadline-driven environment and work in teams
- Strong knowledge of technology, including Outlook, Excel, PowerPoint Skills and use of AI tools such as ChatGPT
- Knowledge of SAP, Webex, MS Teams, SharePoint and Concur
- Strategic problem solver who loves to “think ahead” and anticipate solutions to logistical issues
- Ability to work in a fast-moving, results oriented environment
- Strong cross functional partnership and communication across multiple members of the team
- Discretion in dealing with proprietary or confidential information
- Helpful, can-do attitude with a solution-oriented approach
- Polite and personable ‘team player’
- Skilled at remaining calm under pressure
