Job Description
The Creative Coordinator will be a vital member of the Creative Advertising department responsible for managing A/V, Print and Digital campaigns for Universal Pictures theatrical releases. Working as part of a dynamic and collaborative creative team, the Coordinator will report to the EVP of Creative Advertising and liaise with other employees in the department.
The Creative Coordinator will play a crucial role in providing support to both domestic and global teams, ensuring that all matters are managed in a timely and efficient manner.
Essential Responsibilities:
- Provide administrative support including but not limited to calendar/scheduling, travel & expenses and processing invoices
- Organize all AV and Print advertising materials from early stages of development through numerous revisions and finishing stages
- Prepare creative materials for meetings, including transcripts for AV materials, creating PDF’s for Print and any other items that may need to be prepared days in advance and/or at the last minute
- Ensure timely purchase order processing and track overall budget spending
- Organize and update Digital Assets like Quicktimes, PDF’s and other creative files
- Coordinate with Creative Operations department for all AV dubbing requests
- Handle confidential information and materials regarding not-yet released films, following security protocols
- Distribute creative materials internally and with external contacts
- Communicate quickly with team members on multiple platforms like email, Microsoft Teams and Google Share docs
- Correspond with our Dub room to share materials with outside agency/vendors
- Maintain records of filmmaker and Executive correspondence
- Manage multiple projects simultaneously and prioritize based on deadlines and workflow needs
Qualifications
- 2+ years of experience using Microsoft Word, Excel, and PowerPoint
Eligibility Requirements:

- Willingness to work extended hours and overtime, including weekends, with little notice
Desired Characteristics:
- 2 years of administrative experience working in the entertainment industry, especially at a Creative Agency or Entertainment Marketing company/studio
- 4-year college degree, preferably in film, marketing/business, or communications
- Professional phone demeanor
- Prior experience in advertising or marketing preferred
- Excellent oral and written communication skills
- Ability to take initiative, be proactive and have meticulous follow-through
- Individual should be able to handle multiple responsibilities and juggle a busy schedule
- Hardworking, organized and focused
- A pro-active individual with the ability to work independently and as part of a team

Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.

Salary range: $50,000 -$55,000 (not bonus eligible)
