Job Summary: Assumes primary responsibility for coordinating a specialty surgical care team. Maintains knowledge to provide backup coverage during absences and ensures daily operations run smoothly. Schedules appointments, orders tests, and facilitates communication among team members and with patients.
Education/Experience: High school diploma or equivalent with three years' experience in customer service, preferably handling calls in a medical setting. Strong knowledge of medical terminology preferred.
Essential Functions:
- Answers incoming calls for the specialty care team, maintains abandon rates.
- Schedules appointments and ancillary studies, obtains authorizations.
- Orders outside studies or therapy, ensures timely results.
- Coordinates follow-up appointments with tests or treatments.
- Facilitates physician communication, schedules peer reviews.
- Cancels/reschedules appointments as needed.
- Reviews all digitized studies to ensure accessibility.
- Schedules ambulatory procedures, coordinates clinical activity.
- Receives, reviews, and routes external referrals.
- Returns patient calls, schedules appointments/studies.
- Assists in training less experienced personnel.
- Maintains physicians' travel and academic calendars.
- Manages urgent requests critical for patient safety.
- Performs financial duties such as insurance authorization.
- Performs other assigned duties.
Skills/Qualifications:
- Proficient in using multiple computer software systems.
- Self-motivated, works well independently.
- Maintains a positive attitude when interacting with the public.
Work Environment: Medical office
Physical Requirements: Involves standing, walking, sitting, bending, reaching, finger dexterity, talking, hearing, and seeing. May require lifting up to 20 lbs.
