JOB SUMMARY:
The Sr. Office Administrator is responsible for supporting the daily activities of our North America Flagship located at 64 Vaughan Mall, Portsmouth, NH. The Sr. Office Administrator takes on management of daily office activities related to monitoring visitors’ access, guiding visitors to the proper departments, coordination of events, working with leaders to maintain an agenda of visitors and events, managing correspondence, and supporting clerical functions. The Sr. Office Administrator is the first point of contact with visitors, which includes and are not limited to: Doctors, patients, executives, employees from different regions, and dignitaries.
This is a full-time, non-exempt position located in our Portsmouth, NH office reporting to the Global Director, Facilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Greet and direct visitors to the Flagship
- Prepare correspondence and documents as needed
- Support requests from executives during their stay at the flagship
- Monitor visitor access and maintain security awareness
- Identify and escalate concerns related to security, maintenance, etc
- Liaison between teams holding events at this location and caterer/facilities team
- Support management by organization of office events and joining the events committee (Townhalls, holiday celebrations, club memberships, etc)
- Provide general administrative and clerical/project support including the coordination or pick-up, delivery and distribution of daily mail
- Monitor and maintain office equipment, working closely with the facilities team
- Inform and work with the facilities team when repairs or maintenance of the building is noticed or required
- Order and maintain office and break room supplies
- Other duties as requested
QUALIFICATIONS/KNOWLEDGE:
- Batchelor degree preferred
- Three plus years working in an office environment preferred
- Excellent oral and written communication skills
- Detailed oriented and works with a high degree of accuracy
- Ability to meet challenging deadlines
- Must be self-directed and able to complete projects with limited supervision
- Highly ethical and manage confidential and sensitive information
- Solid working knowledge of Microsoft office (word, excel, PowerPoint) and Outlook
- Handle multiple projects and priorities in order to meet required deadlines. Ability to plan ahead and foresee company needs
- Adhere to a high level of professionalism by demonstrating ethical behavior
- Work with others in contributing to the overall success of the company
OTHER:
- Ability to lift up to 20 pounds
