GROUP ROOMS COORDINATOR
Job Description
The Group Rooms Coordinator is detailed oriented and will thoroughly manage and oversee the Group Reservation process. They will work closely with the Revenue Manager, Director of Rooms, Reservations team, Conference Services and the Group Sales Department while creating an inspiring hospitality experience for guests.
Responsibilities
- Maintain inspiring Group and guest relations experience.
- Focused with acute attention to detail, speed and accuracy.
- Able to prioritize and organize workload.
- Communicate with Sales Team and Convention Services to coordinate Group bookings.
- Process confirmations as required.
- Enter/maintain Group blocks in the PMS system and SalesForce.
- Confirm Group blocks in Opera and SalesForce within 24 hours of receipt of the Group turnover file.
- Maintenance of Group blocks; release room types, add/remove/adjust as needed.
- Upkeep and maintain a complete detailed group file with appropriate documentation from the contract to the group resume.
- Verification of the VIP, ETA, billing, arrival and departure dates, room types based upon Group resumes prior to the weekly revenue meeting.
- Ensure Group blocks, Group lists, Group billing and cut-off dates are maintained.
- Process Rooming Lists accurately and in a timely manner.
- Pre-block all group needs for suites or connecting rooms.
- Ensure all group billing, routing, master accounts, A/R accounts are set in compliance.
- Monitor group pickup and advise revenue manager/DOSM if group should be re- forecasted.
- Report any changes in Group pickup to the CSM, RM and DOSM affect selling strategies.
- Check Daily arrivals to ensure accurate reservations.
- Attend Pre-Convention Meetings, Resume Meetings, Group Pick up Meetings and Reservations Departmental meetings.
Qualifications
Qualifications
- Associates degree; hospitality degree, Hospitality certification or working experience equivalent.
- 1-2 years front desk or room reservation experience.
- Highly developed communication and organization skills.
- Ability to work under pressure and meet deadlines.
- Guest Reservation systems, guest room booking systems, SalesForce is preferred.
