MAJOR FUNCTION
Performs public-facing customer service and financial support related to code enforcement cases. Handles fiscal inquiries, processes payments, transmits information, and routes service requests. Communicates directly with the public, supervisors, and internal staff. Provides secretarial, financial, and clerical support as needed.
ILLUSTRATIVE DUTIES
- Respond to fiscal inquiries related to code enforcement, including payment processing and account resolution.
- Answer division finance phone lines, provide general information, and route calls to appropriate staff.
- Assist walk-in customers with financial services and payment plans.
- Perform data entry and quality control for financial records and transactions.
- Process financial mail and respond to division’s accounts receivable email inquiries.
- Maintain accurate records, including payment postings from Tax Collector reports.
- Prepare and distribute memorandums, reports, invoices, and routine notices.
- Assist with preparing and processing liens, satisfactions, and vendor invoice packets.
- Operate office equipment including computers, multi-line telephones, fax machines, calculators, and copiers.
- Scan, file, and organize documents, including maintaining records for salvage yard fee payments and city billings for code services.
- Provide courteous and professional service to the public, handling conflicts and complaints appropriately.
- Use independent judgment when handling customer requests and conducting follow-ups.
- Verify, correct, and update information entered in the Accela database.
- Perform other related duties as assigned
KNOWLEDGE, ABILITIES AND SKILLS
- Knowledge of office procedures and practices.
- Proficient in using personal computers and various software programs.
- Strong customer service and problem-solving skills.
- Ability to handle multiple tasks simultaneously with accuracy.
- Strong verbal and written communication skills.
- Attention to detail and ability to follow established procedures.
- Knowledge of English, spelling, and basic mathematics.
- Ability to learn and maintain filing systems.
- Ability to operate a motor vehicle and possess a valid Florida driver’s license at the time of employment.
- Ability to cope with mental and emotional stress and handle conflict professionally.
MINIMUM QUALIFICATIONS
High school diploma or equivalent.
Minimum of three (3) years of clerical or fiscal office experience, including customer service.
A comparable amount of training and experience may be substituted for the minimum qualifications.
SPECIALIAZED KNOWLEDGE:
- General working knowledge of the Polk County Property Appraiser and Tax Collector websites.
- Familiarity with Tax Deed transactions.
REFERRED QUALIFICATIONS
- Experience in customer service and financial operations.
- Proficiency in Accela software.
- Bilingual (English and Spanish), both written and spoken.
- Current State of Florida Notary certification.
SPECIAL REQUIREMENTS
- Must be able to type a minimum of 35 CWPM with a maximum of 10 errors.
