Role:
We are seeking a highly organized, proactive, and discreet Executive Assistant (EA) to support our COO, CBO, and SVP People. This individual will be a strategic partner who ensures our leaders are operating efficiently and effectively by managing schedules, streamlining communications, coordinating travel, and supporting operational efficiency across their teams. Additionally, they will be a culture-builder – helping to plan offsites and set up co-working spaces as we scale.
The ideal candidate is a self-starter who is comfortable working through ambiguity, meticulous in their attention to detail, resourceful, and capable of thriving in a fast-paced environment. As a member of our team, your contributions will play a critical role in shaping the future of our business as we scale from currently thousands of members to millions.
While this role is open to remote candidates, we prefer applicants based in the San Francisco Bay Area due to frequent in-person collaborations with team members located there.

Key Responsibilities:
- Manage calendar and schedules
- Manage the COO, SVP of People, and CBO’s complex calendars, scheduling appointments and meetings
- Coordinate with internal and external contacts to arrange each leaders’ commitments
- Prioritize and resolve scheduling conflicts
- Handle communication with cross-functional teams and external partners
- Handle correspondence on behalf of the executives, including emails, letters, and phone calls
- Act as a liaison between the COO, CBO, and SVP of People and other executives, board members, and external partners
- Screen and prioritize incoming communications
- Coordinate travel
- Arrange travel itineraries, including transportation, accommodations, and agendas
- Prepare necessary documents for business trips and meetings
- Administrative Support
- Prepare reports, presentations, and other documents
- Manage and maintain records
- Build culture
- Support team offsites and company events
- Help stand up and support a shared co-working space in SF
- Oversee and assist with special projects as assigned
Qualifications/Skills:
- 7+ years of experience as an Executive Assistant, preferably supporting executives leaders in a fast-paced or start-up environment.
- Exceptional organizational skills with proven ability to manage multiple priorities under pressure.
- Strong written and verbal communication skills, with attention to detail.
- High emotional intelligence & discretion.
- Proficiency in Google Workspace, Slack, Zoom, and other productivity tools.
- Ability to work independently, anticipate needs, and solve problems quickly.
