The opportunity

The Administrative Assistant performs a variety of administrative and secretarial duties as well as a variety of tasks that require planning and organization to meet daily responsibilities and deadlines.

 

Location: This position will be based in Parsippany, NJ

How you’ll spend your day

  • Provides administrative support to the Vice President of Revenue Optimization and Contract Compliance, and the Vice President of Tax – North America
  • Prepares written documents, spreadsheets and presentations.
  • Create Purchase Orders for department
  • Manage certified mail; send rebates checks and other mailings as needed
  • Efficiently schedules department meetings, events and internal conferences.
  • Serves as an important interface with outside parties
  • Supports department expense management: monitors expenditures and prepares expense reports as needed
  • Makes travel arrangements, both domestic and international, and manages calendars
  • Process payment of invoices, as needed
  • Completes other projects and duties as assigned or as business needs require
  • Facilitates communications by answering phones, posting overnight packages
  • Organizes workload to comply with deadlines and priorities. Works independently to complete routine department functions

Your experience and qualifications

  • High School Diploma/GED required, Associate's degree is preferred
  • Must have knowledge of secretarial, office administrative procedures, and proficiency in operating standard office equipment
  • Experience in an administrative assistant or related role required, preferably at least 3 years
  • At least 3 years' experience in a pharmaceutical environment preferred
  • Global travel scheduling experience required
  • Proficiency in MS Word, PowerPoint, Excel and Outlook
  • Must be able to maintain the highest levels of confidentiality, integrity and discretion
  • Must be detail oriented with high level of interpersonal skills to ensure effective, and accurate flow of all information
  • Excellent organizational and follow-up skills required
  • Strong written and verbal communications skills with excellent typing skills
  • Experience with meeting coordination and planning preferred
  • Able to work independently and provide services to multiple staff members
  • Must work effectively with all levels of the organization - domestic and international
  • Willingness and ability to work overtime when needed
