GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:
As the Assistant Administrator, you will play a key role in supporting the management of the day-to-day operations of the Asian Art Department. Reporting to the Senior Manager, you will assist in all aspects of the departments administration including budgeting and fiscal management, communications, scheduling, HR support, and ongoing departmental initiatives.
This is a position with an established end-date or time frame. The time frame will begin upon hire: Three years.
PRIMARY RESPONSIBILITIES & DUTIES:
Work closely with Senior Manager to develop and circulate Departmental communications.
Assist in the planning, development, and administration of departmental budgets. Prepare financial reports and track department spend on both reoccurring expenses and special projects.
Manage and maintain Departmental calendar, including scheduling meetings, activities, and programs.
Administer and support departmental meetings, including, planning, resource management and note taking.
Provide administrative support to departmental staff including onboarding and recordkeeping. Act as liaison with Human Resources department.
Provide support for departmental projects, including tracking schedules and budgets, scheduling meetings, and maintain documentation and project files.
Create, coordinate, and manage the Department’s webpage content, including updating, aggregating, and adding new content and working with the Digital Media Department to implement platform and functionality improvements.
Provide administrative support to Senior Manager and larger team on ongoing Asian Art capital projects, including art storeroom renovations and gallery re-envisioning.
Other duties as assigned.
EDUCATION AND EXPERIENCE:
BA or BS Degree or equivalent experience required.
Two years’ experience as an office administrator, office assistant or relevant role.
Strong interpersonal and organizational skills required.
Computer proficiency – Word, Excel, Outlook, Adobe Acrobat required, Familiarity with The Museum System (TMS) preferred.
Knowledge of budgeting procedures and financial reporting preferred.
Superb attention to detail and communication skills.
Excellent judgment and ability to handle confidential information and materials with discretion.
COMPENSATION RANGE:
Pay Range: $70,000.00 - $75,000.00 / Annually
