About the role

The Administrative Assistant for Internal Audit will perform a variety of administrative and secretarial tasks aimed to optimize the time and performance of the director, 4 managers and employees of the Internal Audit Services department. Tasks involve complex calendar and email management, meeting coordination, document preparation and event planning. This role requires discretion, initiative, and the ability to manage multiple priorities in a dynamic environment.

** This position is eligible to work hybrid (9 or more days a month onsite) in accordance with our Telecommuting Policy. Applicants must reside in Kansas or Missouri or be willing to relocate as a condition of employment.

Compensation

$20.42 – $24.30

Non Exempt grade 11

What you’ll do

  • Respond to internal and external inquiries by drafting, customizing, and managing communications, ensuring timely and professional responses that reflect departmental priorities and leadership direction. 
  • Produce, update and provide best practice support on MS documents, databases and other departmental systems to support the work of leadership. Tasks could include purchasing materials, entering budgetary information, time and expense recording and similar.
  • Schedule appointments, plan for meetings and conferences, and organize travel plans following detailed instructions to facilitate business meetings.
  • Manage calendars and email communications, including prioritizing messages and scheduling high volume meetings. 
  • Coordinate and plan departmental events and recognition activities throughout the year. 
  • Maintain internal communication platforms such as Blue Connect by posting updates and relevant content. 
  • Track and reconcile departmental budgets, assist with monthly variance reviews and support annual budget submissions. 
  • Develop working knowledge of the organization's policies and procedures and of regulatory codes and codes of conduct relevant to own work, adhering to mandatory procedures to ensure own work is undertaken to the required standards.
  • Develop and maintain excellent process or technical skills by participating in assessment and development planning activities as well as formal and informal training and coaching.
  • Develops and delivers multi-mode communications that convey a clear understanding of the unique needs of different audiences. Keeps others well informed; conveys information clearly, concisely, and professionally when speaking or writing.
  • Plans and prioritizes work to meet commitments aligned with organizational goals. For example, gains a clear understanding of the main tasks needed to complete work in the right sequence.
  • Uses clear and effective communication skills and supports business processes.

  • Works with limited guidance to review and create relevant, effective reports.

What you need

  • High school diploma or equivalent. 
  • Proficiency in Microsoft Office Suite.
  • Previous administrative experience preferred
