Overview
The Front Desk Receptionist is responsible for managing and optimizing schedules within the organization to ensure efficient and effective operation. This role involves coordinating appointments. The Scheduling Coordinator ensures that all schedules are accurately maintained and adjusted as needed to meet the organization's operational requirements.
Key Responsibilities:
- Schedule patient appointments accurately and efficiently, balancing provider availability and patient needs.
- Confirm patient appointments and provide reminders via phone, email, or HIPAA secured text messages.
- Complete eligibility check of insurances one day prior to visit
- Reschedule or cancel appointments as needed, ensuring timely communication with patients and providers.
- Address patient inquiries and concerns regarding appointments, wait times, and other scheduling-related issues.
- Collaborate with healthcare providers to manage their schedules, including accommodating special requests and adjusting for emergencies.
- Maintain accurate and up-to-date patient records and scheduling data in Nova Medical Services electronic health record (EHR) system.
- Monitor and manage appointment waitlists to fill last-minute cancellations and optimize provider schedules.
Qualifications:
- Language Skills: Fluent in Spanish and English (verbal and written).
- High school diploma or equivalent
- Medical Assistant Certificate
- Phlebotomy Certificate
- Minimum of 1 year of experience in insurance eligibility verification, preferably in wound care or related healthcare fields.
- In-depth knowledge of insurance policies and regulations in the state of Florida, particularly within the Miami area.
- Strong organizational and time-management skills.
- Proficiency in electronic health record (EHR) systems and insurance verification tools.
- Exceptional communication and interpersonal skills.
- Ability to work independently and handle multiple tasks in a fast-paced environment.
- Problem-Solving Ability to troubleshoot and resolve issues proactively while maintaining a calm demeanor.
- Team Player Works effectively in a collaborative, fast-paced healthcare environment.
- Knowledge of Pre-up - In the Clinic Setting
Preferred Skills:
- Bilingual in English and Spanish to serve Miami’s diverse patient population.
- Familiarity with Medicare, Medicaid, and managed care plans in Florida.
- Previous experience in clinic settings or similar healthcare departments.
- Primarily an office-based role with frequent computer and phone use.
- Requires prolonged periods of sitting, standing, and walking.
