Role Summary:

The Receptionist serves as the primary front desk presence at the Dyne office and is responsible for creating a welcoming, professional experience for employees, visitors, and external partners. This highly visible role supports daily office operations, administrative activities, and company‑wide events, while exercising sound judgment and discretion when handling sensitive or confidential information. The Receptionist thrives in a dynamic environment, adapts easily to changing priorities, and contributes as a flexible, service‑oriented member of the Dyne team.

This role is based onsite five days per week and requires periodic travel between Dyne office locations to support operational needs.

Primary Responsibilities Include:

Front Desk & Visitor Experience

  • Manage the front desk and lobby area, welcoming and assisting employees, visitors, candidates, vendors, and board members
  • Answer, screen, and route incoming phone calls and general inquiries
  • Maintain a professional, organized reception area and ensure a positive first impression

Office Operations & Administrative Support

  • Support daily office operations, including receipt, sorting, and distribution of mail and packages (USPS, FedEx, UPS, courier services)
  • Manage general correspondence and shared inboxes; scan, copy, file, and distribute documents as needed
  • Track receipts and invoices and submit documentation to the Accounting team in a timely manner
  • Assist with onboarding logistics for new hires
  • Provide general clerical and administrative support and assist with special projects as assigned

Facilities, Vendors & Supplies

  • Coordinate with building management, facilities teams, and external vendors (maintenance, cleaning, food and beverage)
  • Order, receive, stock, and organize office supplies, pantry items, and inventory for kitchens and copy areas
  • Support overall office cleanliness, maintenance, and day‑to‑day operational readiness
  • Assist with evacuation protocols and emergency drills in coordination with building management

Meetings, Events & Logistics

  • Maintain conference room calendars and prepare rooms for meetings, including catering coordination and guest clearance
  • Provide logistical support for internal meetings, external visitors, and company‑wide events in partnership with cross‑functional teams
  • Assist with planning and execution of office events and employee engagement activities

Education and Skills Requirements:

  • Undergraduate degree preferred or equivalent relevant experience; High School Diploma or equivalent required
  • Minimum of 2 years of experience in a receptionist, administrative, or similar customer‑facing role
  • Experience in a biotech, life sciences, or fast‑paced corporate environment preferred
  • Strong proficiency with Microsoft Office (Word, Excel, PowerPoint)
  • Excellent interpersonal, verbal, and written communication skills
  • Ability to interact professionally with executive‑level stakeholders and colleagues
  • Strong organizational, multitasking, and time‑management skills with attention to detail
  • Customer service–oriented mindset with sound judgment and discretion
  • Ability to adapt to changing priorities and work independently to prioritize tasks
  • Resourceful and proactive approach to problem‑solving
  • Ability to work onsite five days per week and travel between Dyne office locations as needed
  • Use of a personal vehicle required to support inter‑office travel and operational needs
