Job Summary:

Reporting to the Associate Vice Provost for Sponsored Programs and External Partnerships, the Information Technology Analyst serves as a campus wide subject matter expert for electronic research administration (eRA) systems, which includes all research related software systems. The main responsibility for this position will be to provide user support as well as assist with and coordinate activities of the Office of Sponsored Programs (OSP) office.
This is a temporary position funded by a federal grant from the National Science Foundation as part of the Tri-Alliance project with Santa Clara University and Loyola Marymount University. (Grant funded one-year)

Full Job Description:

Essential responsibilities include:

  • Providing user support to all offices under OSP, as well as campus personnel and research administration support staff who support sponsored research related activities.

  • Assisting with coordinating and implementing tasks to:

    • Identify an electronic research administration system (eRA).

    • Create the workflow process and data dictionary for eRA system requirements.

    • Oversee the integration of different ERA systems with other institutional systems, such as financial systems and institutional repositories.

    • Analyze, design, implement, and maintain the IT systems and processes that support research grant submission, award management, and reporting, ensuring smooth operation and compliance. 

    • Ensure eRA systems comply with relevant regulations, policies, and standards, such as those related to data security and privacy.

    • Identify and recommend solutions to improve the timeliness, transparency and quality of research data and related procedures

    • Assist in revising and drafting new processes and procedures

    • Develop data definitions and data integration points that will support a logical model for the research enterprise and related systems

    • Analyze and recommend high-level methods for data access and reporting that may be satisfied through research enterprise systems tools or separate university-wide business intelligence tools

    • Facilitate and document meetings with subject matter experts

    • Formulate data access procedures that will maintain the balance between confidentiality, security and data accessibility.

  • Providing support of new strategic initiatives and opportunities in eRA that will facilitate researcher and institutional strategic goals; staying up to date with research administration changes and trends through various methods, including training, attending conferences and joining relevant organizations.

  • Leading business continuity preparedness related to research systems and data

  • Maintaining content to provide a user-friendly and responsive website with timely and comprehensive information about research project guidelines and procedures and useful tools to assist in proposal development, award management, protocol development and procedure implementation.

  • Developing and conducting training for staff and researchers in eRA system(s); working collaboratively with other OSP units to ensure interrelated research business processes are effective and support quality assurance efforts; assisting with collaboration between USF units (OSP, schools/colleges, departments and other central offices).

  • Working with peer groups and extramural groups to share collaborative strategic goals of the research communities to which USF belongs (e.g., NCURA, Banner, Workday, Tableau); maintaining strong relationships with vendors of systems used by OSP and participating in appropriate user groups and professional organizations.

    Skills and Qualifications

  • Bachelor’s Degree in computer science or related field.

  • 3-5 years experience with education systems software, preferably accounting and grants management systems.

  • Knowledge in at least one of the following areas:  research administration, eRA systems, implementation efforts, or a related area.
