Reporting to the Associate Vice Provost for Sponsored Programs and External Partnerships, the Post-Award Non-Financial Specialist is responsible for the administration functions for support of externally funded projects that are non-accounting in nature and administered through the Sponsored Programs Office.This is a temporary position funded by a federal grant from the National Science Foundation as part of the Tri-Alliance project with Santa Clara University and Loyola Marymount University. (Grant funded 2024-2029)
Full Job Description:
Essential responsibilities include:
- Ensure understanding of compliance requirements such as IRB, IACUC approvals before release of funds;
- Provide process information as required for purchasing, hiring staff and students, engaging subawards and independent contractors, and other relevant processes;
- Initiate subaward agreements, independent contracts, and award amendments as needed;
- Initiate no-cost extensions, as needed;
- Ensure protocol approvals are received and documents;
- Ensure compliance data management in InfoEd is maintained;
- Serve as the post-award point of contact for PIs;
- Work with other OSP staff to ensure continuity of support from pre-award through close-out;
- Attend training and professional development activities and conferences;
- Maintain information in sponsored project administrative software;
- Collaborate with the manager in developing Standard Operating Procedures;
- Participate in select campus committees, as deemed necessary;
- Recommends initiatives and implements changes to improve quality and services;
- Identifies and determines cause of problems, develops and presents
recommendations for improvement of established processes and practices;
- Maintains contact with stakeholders and solicits feedback for improved services;
- Maximizes productivity through use of appropriate tools, planned training and performance initiatives;
- Researches and develops resources that create timely and efficient workflow;
- Prepares progress reports, informs supervisor of project status, and deviation from goals;
- Ensures completeness, accuracy and timeliness of all operational functions;
- Prepares and submits reports as requested, as required;
- Develops and implements guidelines to support the functions of the unit.
Skills and Qualifications
- Bachelor’s degree.
- Three years of work experience in business or related field.
- Strong verbal and written communication.
- Strong organizational skills.
- Detail oriented.
- Customer-service oriented.
- Data-entry skills.
- Word and Excel experience.
- Ability to work with all levels of the USF community and to work effectively under pressure of shifting priorities and externally determined deadlines.
- This position requires the ability to effectively establish and maintain cooperative working relationships within a diverse multicultural environment.
- Knowledge of federal and non-federal regulations and guidelines related to external funding.
- An understanding of the University’s policies and procedures.
