The Associate Director (PM) manages the day-to-day afternoon operations of the center each afternoon and is in charge in the Executive Director’s absence. The Associate Director (PM) serves as a resource and mentor to classrooms with children with potential special needs or behavioral issues. The Associate Director (PM) meets with families to determine their wishes and concerns and collaboratively develops a plan of action. The role includes conducting child observations as needed, working with the classroom team to create an ongoing record of events, and developing informed interventions to meet individual children’s needs. The Associate Director (PM) serves as a member of the Early Learning Campus administrative team and assists with teaching staff supervision and program operations.
Essential Duties and Responsibilities
Manages the daily operations of the center each afternoon, including staff supervision, maintenance of regulatory and accreditation requirements, child health and safety, and responding to family questions, requests, and concerns. Responsible for all aspects of program operations in the afternoons in the absence of the Executive Director. Employ deep knowledge of early childhood best practices, state and federal regulations, the standards of the National Association for the Education of Young children, and ELC- and University- policies to make informed decisions in a fast-paced, frequently changing environment.
Serves as the direct supervisor of assigned classroom staff, including Senior Lead Teachers, Lead Teachers, Assistant Teachers, and Aides. Monitors PM staff performance including attendance, addresses issues in a timely manner, and conducts annual reviews. Keeps Executive Director informed of performance concerns.
Oversee creation and implementation of action plans to address children’s needs, including special needs and positive social skill development. Collaborate with classroom teaching staff and families to address concerns. Work with staff to ensure full documentation of events, progress, and revision of plans. Follow up as needed. Plans and actions must adhere to the guidelines of the National Association for the Education of Young Children (NAEYC) and meet ELC policy and state regulatory requirements.
Ensure that plans for children with special needs or behavioral issues are respectful of families’ cultures and beliefs, based on clear observation and documentation, individualized, and conducted in a timely manner. Provide communication and guidance to teaching staff and families as needed.
Connect families of children with special needs or behavioral issues with community resources and obtain written parental/guardian consent for external child observations and assessments.
Develop and conduct ongoing training in positive behavior guidance, including Conscious Discipline strategies and resources such as peer reviewed journals, current professional books, and NAEYC guidelines.
Provide training for teaching staff on the NAEYC Code of Ethics. Coordinate with Senior Leads and Director to support other classroom training needs. Conduct ELC orientation and training for new staff members.
Assist with enrollment activities and required documents at the beginning of the school year and throughout the school year as needed, including making placement offers to families, documenting acceptance/deferment on waitlist, communicating enrollment packet requirements and deadlines, reviewing enrollment packets for errors, working with families to correct, entering enrollment forms into the ProCare system, and distributing relevant information to teachers and other staff
Assist the Director in preparing and maintaining administrative reports and documentation including NAEYC Accreditation, KY Childcare Regulations, and All Stars Rating System.
Assist with other administrative duties as needed such as interviewing prospective staff, family event planning, staff meeting development, pick up or drop off procedures, and afternoon scheduling. In the absence of the Unit Business Manager, monitor childcare subsidy contracts to prevent contract lapses and missed payments and complete electronic deposits
Ensure that only authorized persons pick up children. Perform daily closing procedures, including full-building inspection to ensure that all children have left the building before closure
