The Partnership & Events Planner plays a key role in TU’s Engagement department, focusing on planning and executing national events that drive volunteerism, participation and revenue. This role emphasizes cross-organizational collaboration to deliver impactful engagement experiences that align with TU’s broader organizational goals and our grassroots needs. Reporting to the Director of Engagement Partnerships, the Planner will plan and execute events that 1) increase volunteer engagement, coordination and learning; 2) generate new participation and supporter leads and; 3) drive revenue through sponsorships and registrations. This position is only funded for the first two years, so driving revenue growth through events will become increasingly critical. Cross-organizational accountability will be maintained to ensure alignment with TU’s overarching objectives and priorities. This role requires a skilled collaborator who can manage event logistics while aligning efforts across TU to support growth and engagement.
Requirements
1) Execute & Deliver Regional Rendezvous, CX3 and National Engagement Event Experiences
The Partnerships and Events Planner is accountable for implementing, growing and improving all event planning logistics for three to four Regional Rendezvous each year and Cx3 bi-annually. These events are multi-day gatherings that unite grassroots leaders, staff and partners to strengthen TU’s mission through collaboration, learning, and engagement. The Planner will work within a lean budget, relying on creative solutions to maximize attendance, grow sponsorships, and foster meaningful staff-volunteer connections to embody the "One TU" philosophy. Responsibilities involve end-to-end event management, including but are not limited to:
- Pre-Planning: Budget responsibility. Coordinate venue and transportation contracts, meal planning/ BEOs, and other key logistics. Coordinate grassroots volunteer committee communications and scheduling and integrate other departmental needs into the agenda to ensure smooth, “One TU” planning of events. SWAG solicitation.
- Marketing & Partnerships: Develop event websites, registration systems and promotional materials. Cultivate partnerships with local NGOs and businesses to enhance the event's reach, secure sponsorships, and build TU’s reputation as an innovative, outward-facing organization.
- Onsite Logistics: Oversee run-of-show execution, registration, AV/tech setup, SWAG distribution, and participant materials. Manage name badges, packets, and all event-day coordination. Establish systems for engaging volunteers in the implementation of the event. Coordinate thank you gifts and other acknowledgements.
- Post-Event: Conduct evaluations, ensure follow-ups and analyze feedback to improve future events and develop best practices and event standardizations. Deliver measurable outcomes to support cross-functional department goals including through new supporter lead generation, increased volunteer hours, growth in revenue through sponsorship and event registration fees, and new collateral for increased storytelling.
2) Support & Expand Service Partnership Programs and Events
The Planner will steward existing chapter-led TU Service Partnership programs and events and support the research and development of new national partnerships opportunities. Priority will be given to the expansion of existing programs in the Service Partnership portfolio, including delivering process improvements to increase participation and impact and utilizing these programs for more effective lead generation and new sponsor and funder cultivation.
3) Support & Integrate Large Chapter/ Council Events and Corporate Engagement Programs
The Planner will leverage large-scale TU chapter and council events, such as TroutFests, to promote national-level collaboration and unlock growth opportunities. By developing and implementing template-based best practices, the Planner will facilitate additional partnerships among chapters, councils, and national initiatives, ensuring consistency and scalability throughout the organization. The Planner will also enhance existing corporate engagement programs, such as T.D. Bank/ Plant for Our Future, while identifying and developing new national partnership opportunities. These initiatives will aim to drive TU’s engagement metrics, generate event-based revenue and establish meaningful, place-based collaborations that amplify TU’s impact. To elevate the overall brand experience of chapter, council, and corporate partnership events, the Planner will refine planning processes and oversee execution in partnership with engagement field staff or local leaders.
