Position Overview
Arlo is in search of a Front Office Specialist to support the overall front office administrative operations of the Office of Local Defense Community Cooperation. You would serve as the liaison between OLDCC staff and administrative support. Additionally, the candidate will utilize Federal and DoD resources to ensure productivity and efficiency to ensure seamless administrative operations.

On-site in Crystal City, VA, Monday – Friday between 8am-5pm
Job Responsibilities and/or Success Factors
- Office Management - The candidate will provide support to Office Management requirements in the following areas:
- Human Resources Support: Performs the role of Human Resource Support Specialist in OLDCC’s electronic grants management system commonly known as “EADS II” or “SmartSimple” to assist in the in- and out- processing of civilian and military personnel.
- Will manage, maintain, and update Agency-wide Point of Contact registers and ensure contact information for all persons is up-to-date and accurate, and will ensure all registers are maintained on the Agency’s SharePoint in the proper locations and are enclosed within the Agency’s’ Security Operations COOP plan.
- Will update and maintain the Training Program tracker on a weekly basis, and assist in planning and tracking Agency training courses, to include review of training course data to ensure accuracy and coordination of training request forms with the Training Officer.
- Serves as a Kastle Card Administrator in support of office management operations.
- Will create, develop, and maintain welcome packets for on-boarding staff members.
- Will provide assistance to the Officer Manager by completing the Request for Personnel Action form, gathering associated documents, and consolidating the RPA package in accordance with the agency’s record management procedures.
- Will coordinate Organization Operational Review (OOR) updated slides with presenters, update the calendar slide, and consolidate the OOR slide deck.
- Facilities Management: Assist in the development and management mechanism to oversee facility management tasks and requirements.
- Supply Inventory: Will take and maintain inventory of office supplies identifying quantity of stock and notifying Office Manager of quantities needed. Will prepare purchase request form required for ordering supplies. Will assist in updating the Non-IT Equipment tracker according to the inventory.
- Front Office Support: The contractor shall provide customer service to internal and external OLDCC customers and staff members per the following:
- Meeting Logistics: Will serve as the lead coordinator for recurring staff meetings ensuring tasks are assigned to appropriate staff members in a timely fashion and ensuring that responses are received, upto-date, and prepared for meeting presentations.
- Reception: Serves as the initial point of contact for visitors entering OLDCC office(s).
- Telephone Triage: Will service the main office phones to ensure that voicemails are recorded and messages are forwarded to the appropriate party on a routine basis.
- Mail: Will facilitate the sending and receiving of mail and packages on behalf of the office ensuring packages and parcels are distributed to the appropriate staff members and that outbound packages are properly addressed and scheduled as needed with postal carriers.
- Physical Requirements:
- Work may involve sitting or standing for extended periods of time and typing and reading from a computer screen.
- Must have enough mobility, including bending, reaching, and kneeling, to complete daily duties in a prompt and efficient manner and may include lifting thirty (30) pounds, as necessary.
Education and Minimum Qualifications
- Must have an active Secret clearance.
- High school degree with at least two (2) years of experience performing administrative staff, clerical, clerical technical, or secretarial work.
