DeSimone Consulting Engineers is currently seeking an Accounts Payable Specialist to join our New York office.
The Accounts Payable Specialist will be responsible for a variety of tasks, such as the timely and accurate payment of vendors and employee expense reports, while maintaining superior customer service.
Job Description:
- Reviews and monitors accounting mailbox/ticketing systems for invoices.
- Manages Purchase Order system.
- Reviews invoices for appropriate documentation and approval prior to payment.
- Prepares weekly check run accurately and timely ensuring all payments are in accordance with payment terms and company policies.
- Matches invoices to checks, obtain required signatures for checks, and distribute checks accordingly.
- Audits and processes credit card bills.
- Reviews and approves teammate expense reports on a daily basis.
- Follows up on any expense report discrepancies, such as missing receipts, unmatched charges, and any other unapproved charges.
- Ensures expense reports are processed accurately and within the critical processing deadlines.
- Maintains vendors files and contacts vendors to obtain necessary documents needed to process payments, such as W9s and banking details.
- Processes 1099s annually.
- Responds to all vendor inquiries.
- Reconciles vendor statements, researches, and corrects discrepancies.
- Assists with month-end closing.
- Maintains files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices.
- Demonstrates effective interpersonal, written, and verbal communication skills to facilitate effective work relationships with others.
- Conducts routine audit of financial data to ensure accuracy and integrity.
- Complies with all accounting/finance related policies and procedures and establishes proper techniques to discover and prevent fraud.
- Assist with other projects as needed.
Requirements:
- High school diploma required, college courses in accounting preferred
- Minimum 4 years of Accounts Payable experience.
- 2 years of general accounting experience preferred.
- Thorough knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures.
- Strong knowledge of basic accounting principles.
- Proficient in Microsoft Excel, Deltek Vision and/or Vantagepoint experience a plus.
- Must have a strong work ethic and professional attitude.
- Detail oriented and reliable.
- Strong organizational and time management skills.
- Strong problem-solving, documentation, research and resolution, data analysis and multi-tasking skills.
- Excellent verbal and written communication skills.
- Ability to interact with employees and vendors in a professional manner.
- Ability to work independently and with a team, in a fast-paced and high-volume environment with emphasis on accuracy and timeliness.
This position is classified as hourly, non-exempt. The hourly range for this position is $33.65-$38.46 dependent upon experience and qualifications.
At DeSimone, we believe in transparency when it comes to salary and hourly rates for our job postings. Our pay range represents the range of salaries or hourly rates that we think, in good faith, we might be willing to pay, for the posted job in the specified location(s).
For this particular position, we expect to hire near the middle of the range. To be considered for this role, we are looking for candidates with at least 4 years of experience working in Accounts Payable, college courses in the industry are preferred, and 2 years of general accounting experience is preferred.
We understand that there may be rare and exceptional circumstances where an external candidate has experience, credentials, or expertise that far exceed those required or expected for the position. In these cases, we may consider paying a salary or rate near the higher end of the range.
