Withum is seeking a full-time administrative assistant with potential for rapid advancement to Office Manager in the DC metro area. This role will start in Bethesda and will move to Tyson’s Corner within the next 6 months. This person will perform administrative work of considerable difficulty and involving some independent judgment for the partners of the firm, and team members, as needed, in the areas of audit and tax services. Responsible for general office functions, assistance with both attestation and tax team workloads, provide support to the administrative team to ensure timely, accurate, and quality projects, and related work as required. This candidate will work closely with our Bethesda office manager to learn roles and responsibilities of that position, with opportunities for advancement to an office manager position within the next 6 months.

How You’ll Spend Your time (administrative):

  • Preparing engagement letters and business correspondence
  • Preparing, formatting, and proof-reading presentation documents for accuracy
  • Managing information, filing systems, faxing, scanning, copying
  • Monitoring deadlines and the workload and deliverable turnaround time of all members of the admin team
  • Coordinating conference call and in-house meetings with clients
  • Ordering supplies and organizing them
  • Ordering meals for events and meetings
  • Processing mail
  • Working on special projects
  • Occasional lifting of boxes or other office supplies that do not exceed 20lbs
  • Climbing or reaching

How You’ll Spend Your time (office manager):

  • Supervising administrative staff
  • Monitoring deadlines and the workload and deliverable turnaround time of all members of the admin team
  • Providing training and guidance to all the admin team and onboards new admin team members.
  • Responsible for overall office and facilities management – interacts with building management with regards to safety and security of the building and suite, maintenance issues, repairs, service and delivery matters; point person for all maintenance requests -submitting, following up, ensuring they are complete.
  • Overseeing all office and kitchen supplies and cleanliness of overall office.
  • Managing office security systems.
  • Working closely with PIC, to coordinate office events and ensures that office operations run smoothly and efficiently.
  • A/P management (PaperSave)- review invoices in papersave prior to PIC approval before it goes to finance for payment. 
  • Identifying, creating, and running weekly, monthly, and quarterly reports to evaluate office’s progress toward goals.
  • Serving as primary point of contact/liaison between the office and various firmwide teams, including HR, Coaching, and Marketing.
  • Assisting partners and Managers in office with ad hoc requests.

The Kinds of People We Want to Talk to Have Many of The Following:

  • Associate’s Degree or equivalent experience of 5-7+ years in a similar role
  • Must process excellent Word, Outlook and Excel skills and ability to quickly learn proprietary software
  • XCM, GoSystems, or experience with other tax software preferred
  • Strong verbal and written communication skills
  • Ability to type at least 55 wpm
  • Prior experience is a plus
