We are seeking a highly organized and proactive Administrative Officer to join our team. The ideal candidate will provide exceptional administrative support to assigned government senior leaders and will play a crucial role in ensuring the smooth and efficient operation of the Mission Office. This role requires a professional who can manage multiple priorities, coordinate complex schedules, and maintain strong relationships with both internal and external stakeholders.
Key Responsibilities:
- Leadership Support:
- Develop and maintain a strong, positive rapport with senior leadership, team members, and external partners.
- Provide professional customer service expertise and administrative assistance to Mission Office Government leadership.
- Leverage prior experience in supporting executive-level personnel to anticipate needs and proactively manage responsibilities.
- Handle confidential and sensitive information with discretion and professionalism.
- Liaise with internal and external stakeholders on behalf of executives.
- Scheduling and Coordination:
- Track priorities and deadlines while providing comprehensive scheduling and calendar support to senior Government personnel.
- De-conflict between events, manage meeting invitations, and coordinate visit requests.
- Schedule and organize meetings, taking notes and minutes when required.
- Organize executive events and functions, oversee special projects and initiatives, and serve as a point of contact for executive inquiries and requests.
- Documentation and Task Management:
- Organize and manage reports, assisting in the tracking and organization of taskers, requests for information, deliverables, and action items.
- Provide assistance in tracking contract deliverables and ensuring timely completion.
- Coordinate the development and maintenance of Mission Office filing structures and distribution/mailing lists.
- Operations and Logistics:
- Process and track requests to the ARPA-H Information Technology Office (ITO) for equipment/services.
- Coordinate ARPA-H badge and Personal Identity Verification (PIV) issuances and renewals.
- Manage office moves and in/out processing of office staff, including Government and support personnel.
- Technical Support:
- Create, compile, and edit computer-generated documentation, including technical text and graphics.
- Prepare and edit documents, presentations, and reports for executive review.
- Hybrid position, 3 days on-site.
Required Qualifications
- US Citizen
- Able to obtain a Public Trust Clearance
- Bachelor’s degree or higher with at least ten (10) years relevant experience
- Substantial relevant occupational experience (~15 or more years) may be considered in lieu of degree requirement
