Operational Administrative Team Lead - Finance & Accounting Solutions

In this role you, will provide high-level administrative, technical, and strategic support to the Finance and Accounting Solutions department. This role facilitates managing complex projects, client interactions, quality control, and optimizing job workflows. Additionally, the position includes supervision of the FAS Operational Accounting Administrative Coordinators and mentoring/supporting associates, contributing to strategic initiatives, and assisting with departmental improvements.

Essential Duties/Responsibilities:
- Client Management
- Work with client service teams and/or onboarding teams to draft engagement letters for PIC approval.
- Oversee the setup and closure of client accounts in systems such as FloQast, Suralink, GFR, and OneHub.
- Support operational accounting team with complex client account changes.
- New Client Implementation Support
- Manage complex client communications regarding work readiness, reporting, and deliverables.
- Collaborate with the onboarding team for the implementation of client software systems (e.g., QBO, Bill, Gusto), payroll processing, and third-party provider registrations.
- Maintain effective communication with clients, ensuring timely data flow, meeting reminders, deadlines, and deliverables.
- Manage SalesForce database for new opportunities.
- Quality Control, Workflow & Process Tracking:
- Ensure all applications have appropriate documentation for GFR, Engagement, and FloQast.
- Provide operational support to Department Director and Regional Department Directors
- Monitor job codes and ensure client data accuracy in STAR/Salesforce.
- Assist with setting up, monitoring, and finalizing engagement binders.
- Assist with FloQast checklist accountability.
- Leadership and Mentorship
- Mentor and train associates, providing guidance and support to enhance their professional development.
- Lead by example, demonstrating professionalism, ethical behavior, and a commitment to excellence.
- Supporting team members for success. Including but not limited to hiring, performance management, balancing workloads and client needs.
- Contribute to strategic departmental initiatives, offering insights and recommendations for process improvements.
- Perform additional tasks and responsibilities as needed to support the accounting solutions functions, including special projects, ad-hoc analyses, compliance activities, process improvements, and collaborative projects with other departments.
Required Skills/Abilities:
- Advanced proficiency in Microsoft Office suite, including the ability to prepare complex correspondence, reports, tables, and exhibits using formulas and appropriate formats.
- Expertise in using Outlook, Excel, and Monday.com for setting up and maintaining project management files and scheduling.
- Excellent communication skills, with the ability to articulate complex information clearly and concisely.
- Strong critical thinking and decision-making abilities, with sound judgment and ethical behavior.
- Proven ability to handle confidential information with discretion.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Professional demeanor, maturity, self-confidence, and a positive attitude.
Education and Experience:
- Bachelor’s degree in a related field, paralegal certification, and/or equivalent work experience.
- Extensive experience in a similar role, with a proven track record of success in managing complex projects and client interactions.
