Executive Assistant to the CEOFlawless is looking for an Executive Assistant to join our Production Studio. It’s a very exciting time to be joining Flawless, with over 100 employees across London and LA, working with major Hollywood studios on movies with A list actors and also leading advertising agencies and brands.
Our groundbreaking AI powered tools, allow any new dialogue to be visually lip synced without the need to reshoot or go back to set. The pioneering system has won multiple awards including TIME Best Inventions.

As the Executive Assistant to the CEO, you will be joining an innovative generative AI startup changing the future of filmmaking. The EA will play a pivotal role in supporting the dynamic and fast paced environment of Flawless AI. This role requires exceptional organizational skills, meticulous attention to detail, and the ability to multitask effectively. You will be instrumental in managing the CEO's schedule, coordinating travel arrangements, and ensuring efficient operation of their day-to-day activities. As a Flawless team member, clear, concise, and constant communication is paramount to the success of our company objectives. This individual must be able to work effectively and efficiently with our cross-functional teams in both the US and UK locations.
Key Responsibilities:
- Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel logistics.
- Act as the first point of contact for internal and external stakeholders, maintaining professional communication and confidentiality.
- Organize and prepare for high-level meetings, including creating agendas, taking minutes, and following up on action items.
- Manage email correspondence, ensuring prompt and accurate responses.
- Coordinate travel arrangements, including flights, accommodations, and itineraries.
- Assist in the preparation of reports, presentations, and other executive documents.
- Collaborate with various teams across the company to facilitate smooth operations and communication.
- Handle confidential information with discretion and integrity.
Qualifications:
- Proven experience as an Executive Assistant or similar administrative role.
- Exceptional organizational and multitasking abilities.
- Strong communication skills, both written and verbal.
- Proficiency in G-Suite and advanced scheduling tools
- Ability to work independently and under pressure in a fast-paced environment.
- Experience in travel planning and logistics.
- Detail-oriented with a proactive approach to problem-solving.
- A keen interest in the entertainment and technology industries is a plus.
