Executive Assistant

The primary objective of the Executive Assistant is to provide comprehensive administrative support to senior executives, ensuring the smooth and efficient operations of their teams. This includes managing schedules, coordinating meetings, handling correspondence, and assisting with various projects to facilitate effective decision-making and organizational success. 

RESPONSIBILITIES:  

• Perform all administrative functions, including travel arrangements, maintaining calendars, and preparing expense reports 

• Proactively manage the calendar, ensuring any pre-reads or materials needed for meetings are prepared in advance 

• Assist with organizing and coordinating events and activities for the department  

• Track the department budget and process invoices 

• Manage the company suite at State Farm Arena  

• Provide ad-hoc support in creating and organizing documents in PowerPoint and Excel 

EXPERIENCE QUALIFICATION: 

• Minimum 5 years’ experience in administrative role 

• Experience supporting multiple individuals 

 

REQUIRED KNOWLEDGE, SKILLS or ABILITIES: 

• Proficient in Microsoft Office (Excel, Outlook, and PowerPoint) 

• High EQ  

• Detail oriented and able to multi-task in fast-paced environment 

• Strong written and verbal communication skills 

• Self-starter and able to define tasks independently 

• Proven ability to effectively manage multiple priorities in a rapidly changing environment 

• Strong interpersonal and one-on-one communication skills
