Job Description

AECOM is actively seeking a creative and highly talented Executive Assistant to be based in our Dallas, Texas office location.

The Executive Assistant will possess wide-ranging experiences, use professional concepts and exercise discretion to resolve complex issues in creative and effective ways. The role applies an understanding of business processes, gathers data, makes recommendations and provides confidential and high-level administrative support to Executives.

Primary Job Responsibilities

  • Participates in the coordination of administrative functions for one or more executives.
  • Serves as a representative of the organization or in lieu of the executive.
  • Responsible for manning reception area and handling calls
  • Managing detailed business and personal calendars, meetings, and logistics, preparing materials and setting up department activities.
  • Arranging complex international and domestic travel agendas and preparing travel and expense reports.
  • Organizing client, project and internal/external meetings including room bookings and catering arrangements as required.
  • Relies on experience and judgment to plan and accomplish goals and make decisions with discretion.
  • Performs a variety of complicated tasks.
  • May direct and lead the work of others.
  • A wide degree of creativity and latitude is expected.
  • Works with highly confidential information.

Qualifications

Minimum Requirements:

  • Candidates must possess a High School diploma and at least 10 years of relevant experience
  • Experience working in a global environment and across multiple time zones
  • Ability to achieve results by influence and diplomacy across a large matrixed organization
  • Ability to anticipate business needs, handle issues and ask the right questions before problems arise
  • Highly proficient in Microsoft Outlook, Excel, Word and Power Point
  • Adept at working in a highly demanding, dynamic and fast-paced environment
  • Experience working with highly confidential information
  • Ability to think and act independently

Preferred Qualifications:

  • 12 years of relevant experience
